                  Warehouse Supervisor   Première Urgence - Aide Médicale Internationale (PU-AMI) is a non-profit, non-political and non religious humanitarian NGO. Its objective is to bring about a global response to the basic needs of populations suffering from acute humanitarian crisis and to allow them to recover their autonomy and dignity. Today, PU-AMI is intervening in 21 countries in Africa, the Near East, Caucasus, Asia and the Caribbean to cover the needs of populations affected by conflict, natural disasters or economic crises. PU-AMI in Lebanon has been implementing emergency and recovery projects in Water, Sanitation and Hygiene, in Shelter Rehabilitation, Health and in Livelihood Recovery sectors.   POSITION GENERAL INFORMATION   Position: Warehouse Supervisor Based in: Saida   Supervision Under the direct supervision of: Supply Chain Manager Supervision of: Storekeeper Under the overall supervision of: Field Program Coordinator   OVERALL MISSION General objective Under the direct supervision of the Supply Chain Manager, the Warehouse Supervisor is responsible for the direct management and handling of all storing and distribution functions at the PU-AMI warehouse facilities. This includes accountability for inbound and outbound freight, as well as adherence to legislative, safety, and organizational policies and procedures. The Warehouse Supervisor will accomplish effective logistical oversight through strong leadership and decision-making skills.   Responsibilities and tasks           1. Store management    To be the focal point for all issues regarding the warehouse for the base  To ensure the formal communication linked to the store within the base  Manage and organize the receiving, storage and shipping of all supplies at the warehouse, directly or indirectly (with the support of a storekeeper)  Ensure all requests of stock are sent and delivered to the requesters (project managers) in a timely manner  Communicate all delays or variances in inbound/outbound freight to the appropriate parties  Monitor the quality of products at the time of reception in coordination with the procurement officer(s).  Regularly monitor the quality of products during storage. Pay special attention to expiration dates (if applicable)  Plan warehouse layout and space requirements (to prevent loss or damage, to achieve warehouse optimization) and organize the implementation               2. Documentation, Coordination and Reporting     Ensure that all dispatch and receipt documents (Good Receive Note/Delivery Note/Stock Transfer Sheet/Way Bills)are complete and archived in compliance with PU-AMI standards   Ensure that a regular follow-up of the warehouse documents is done: on a daily (stock cards) and weekly basis (Excel stock report, delivery plans)   Share the follow-up with the appropriate parties   Undertake a physical inventory at least once per month    Identify discrepancies between inventory records and take action, with the support of the Supply Chain Manager and the Logistic coordination   Maintain strict control over inventory levels in order to meet internal and external demand of product; ensure a regular reporting to the program teams so they can anticipate their needs   Regularly meet with the other supply chain and/or program teams in order to organize and plan the next deliveries and distribution plans and anticipate needs and challenges   Together with the Supply Chain Manager work with the program teams in order to clarify their needs and ensure a good understanding of PU-AMI procedures to optimize the work between the teams   Develop and implement new tools if necessary, regarding the warehouse management               3. Staff management   To organize the hiring process for storekeepers in accordance with PU-AMI recruitment policy To manage the storekeeper and to organize their work according to the needs in collaboration with the Supply Chain Manager To participate in the continuous training of warehouse staff and regularly test their knowledge on warehouse procedures To consult the Supply Chain Manager for any problem raised or caused by a storekeeper To solve team conflicts, if any, and ensure team building. To conduct appraisals every six months for the warehouse staff in collaboration with the Supply Chain Manager In coordination with the Supply Chain Manager make provisions for the staff and necessary equipment for loading / unloading Supervise the team of warehouse staff and/or daily workers for storage activities               4. Maintenance of storage premises Monitor the storage facilities and infrastructure both from inside and outside: locate damages and propose the necessary repairs to the manager Organize and supervise cleaning (and regular disinfection if necessary) of storage spaces Introduce protection against insects and pests inside the storage spaces and apply treatment upon the first sign of infection Ensure adequate ventilation of the storage premises Ensure the equipment and machines used by teams are cleaned before returning to the store   The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the project needs.
