HR Clerical Assistant - Beirut

Accountability and Complexity

  • Uses existing procedures to solve straightforward problems while having limited discretion.
  • Duties are clearly defined, and methods and tasks are described in detail.
  • Escalates situations outside of standard operating procedure or practice.

Administrative Support: 

  • Prepare, distribute and collect signatures for HR-related documents, such as: RI IDs, Private Health Insurance Cards, Payslips, Advance Forms, New Joiners documents, Exit documents…etc.
  • Handle HR tasks like photocopying, scanning, printing, data entry, and archiving.
  • Schedule and coordinate Onboarding Orientations, Trainings, Interviews, and HR events/gatherings.
  • Send and collect signatures on Payslips and ensure adequate filing; Provide support with employees’ correspondence to correct Timesheets errors.
  • Prepare, print and distribute RI IDs for the new joiners and the current employees in a timely manner; tracks and distributes insurance cards as necessary.  
  • Organize employees’ files, both soft and hard copies as per the HR Guidelines. 
  • Track and follow up on attendance during Orientations and Trainings for record keeping; actively support in following up on the Training Supporting documents as needed.
  • Assist in updating Volunteers database and other HR reports as requested.
  • Act as the clerical point of contact for the NSSF folder specifically related to organizing Employees’ IDs.

 Recruitment Process Support: 

  • Assist and closely follow up on scheduling interviews with shortlisted applicants and sending the needed communication e-mails to applicants; supports in scheduling and shadowing Assessment Tests as needed.
  • Support in following up with applicants regarding their pre-employment documents; and ensures adequate filing as per the HR guidelines.  
  • Assist in following up with Outreach Workers and Volunteers regarding their documents and files; and ensure adequate filing as per the HR guidelines.    
  • Assist in filling Offers, Employment Contracts, References, and any other HR Recruitment Forms as needed. 
  • Assist in following up on the reference checks for Outreach Workers and Volunteers as per the standard guidelines.  
  • Assist in printing out all needed documents for New Joiners in alignment with the HR policies and procedures and in close coordination with the relevant HR Member.  
  • Prepare hard files for new hires after double checking that all policies and required documents are signed.

  • Reports any concerns.
