HR Clerical Assistant - Daily Worker (Beirut)

General HR Deliverables  

Perform a variety of HR support tasks like copying, scanning, printing, typing, translating, data entry, assisting in organizing HR events, gathering, and following up on signatures for HR related documents from the employees and their supervisors.    

Send and collect signed Payslips for all employees monthly.   

Prepare, print out and distribute RI IDs for the new joiners and the current employees in a timely manner; distribute insurance cards as necessary.   

Assist with archiving and reorganizing employees’ files, both soft and hard copies as per the HR Guidelines.  

Attend HR trainings (online or offline) and take attendance for record keeping.  

Assists in updating HR databases, Volunteers database and other HR data reports as requested  

 

Recruitment Process Support:  

Assist in preparing the checklist of posting for each open vacancy. 

Assist in filling the phone interviews and closely follow up on scheduling interviews with shortlisted applicants and sending the right communication e-mails to applicants; accordingly, scheduling and shadowing Assessment Tests as needed.  

Assist in filling in Offers and Employment Contracts templates, and any other HR Forms as needed.  

Attend interviews for Outreach Workers and Volunteers, as needed.   

Assist in following up with Outreach Workers and Volunteers regarding their documents and files.   

Assist in following up on the reference checks for Outreach Workers and Volunteers as per the standard guidelines.   

Assist in printing out all needed documents for New Joiners in alignment with the HR policies and procedures and in close coordination with the relevant HR Member.   

Assist in filling in the needed forms for the new hires as requested while paying close attention to quality of work.  

Open hard copy files for new hires after double checking that all policies and required documents are signed.  

Support in entering new hires information in the HR database and scan all needed documents accordingly.  

Add new joiners to WhatsApp groups. 

Assist in following up with IT to ensure RI emails are created and activated for new joiners. 

Follow up on the onboarding meetings and save the signed forms in the employee file.  

Act in a highly professional and objective manner under all kinds of circumstances with internal staff and external parties while keeping the HR team regularly well informed and updated.
