Essential Functions & Areas of Accountabilities
- Assist the Livelihoods Program Manager in planning, implementing, and monitoring project activities to meet project deliverables based on the agreed timeline and scope with the donor.
- Review and update the action plan monthly, and develop corresponding work plans with guidance from the Senior Field Coordinator and Program Manager.
- Monitor the implementation of service providers according to the agreements, work plans, and timelines.
- Manage grant budgets, track expenses, and keep the Program Manager informed of developments and emerging issues related to program implementation.
- Support the Program Manager in monitoring progress and maintaining an accurate database.
- Manage reporting workflows and processes between field staff and the Program Manager to ensure timely and high-quality report development and review.
- Actively participate in coordination meetings relevant to the program.
- Follow up on administrative and logistics matters related directly to activities, including timesheets, payment schedules, required paperwork, liaison with other department, develop Purchase Requests following the procurement internal processes and upon the spending plans for the project activities.
- Work with the Senior Field Coordinator and Supply Chain departments to ensure timely and efficient delivery of project materials/documents to stakeholders and beneficiaries.
- Coordinate the development and design of communication materials.
- Act as the focal person for project documentation, ensuring that all project-related data is properly collected and stored in the relevant system.
- Perform other duties as assigned.
Work Coordination: Internal direct reporting, dotted line work coordination and The Job Holder reports directly to the Livelihoods Program Manager.
- Under the supervision of the Livelihoods Programs Manager, the Job Holder should coordinate closely with project staff members and RI internal support departments: Operations, HR, and Finance to ensure accurate resource allocation and planning.
Span of Control & Decision Making
The Job Holder should take decisions related to the accountabilities outlined above seeking approval/ coordination from Livelihoods Programs Manager as appropriate. Any decision beyond her/his realm or responsibility should be discussed with the Livelihoods Programs Manager.
Working Conditions / Operating Environment
The Job Holder will be working from RI’s office in Beirut; however, a significant amount of time will be required in external meetings and working at locations outside of the office within Bekaa, South and North.
