Request for Quotation (RFQ) – Long‑Term Agreement (LTA) for Hotel & Conference Services – Beirut, Lebanon

Background & Objective

Right to Play International seeks to establish Long‑Term Agreements (LTAs) with qualified hotels in Beirut District to provide accommodation, meeting facilities, catering, and related services on an as‑needed basis, ensuring quality, safety, and value for money.

Scope of Services

Selected hotels may be requested to provide:

• Accommodation: Clean and well‑maintained rooms with housekeeping services
• Meeting Facilities: Fully equipped conference and meeting rooms with flexible seating arrangements
• Catering Services: Coffee breaks, meals, and menu options, including dietary requirements
• Transportation: Taxi services to and from Beirut International Airport

Key Requirements

• Hygiene & Cleanliness: Strong housekeeping and sanitization standards
• Safety & Security: 24/7 security, fire safety systems, and emergency preparedness
• Flexibility: Ability to accommodate short‑notice and last‑minute bookings

Eligibility Criteria

Interested hotels must:

• Be legally registered and operating in Lebanon
• Have relevant experience (NGOs / INGOs experience preferred)
• Demonstrate compliance with safety, hygiene, and service quality standards

Selection Criteria

Quotations will be evaluated based on, but not limited to, the following criteria:

• Location: Hotel must be located within Beirut or its immediate vicinity
• Quality of Facilities: Standard of rooms, meeting spaces, and services
• Compliance: Conformity with RFQ requirements and submission instructions
• Experience: Previous experience providing services to NGOs / INGOs
• Commercial Offer: Competitive and transparent pricing
• Capacity & Flexibility: Ability to meet varying group sizes and short‑notice requests

Quality & Standards (Optional)

• Availability of international quality or safety certifications (e.g., ISO 9001, ISO 22000, ISO 45001) will be considered an added advantage,
