Key Responsibilities:
1.Banking and Cash Management
• Enter data in ERP for cash, bank, and necessary adjustments.
• Handle deposits, withdrawals, foreign exchange, and other banking activities.
• Ensure prompt deposit of received funds and maintain proper documentation (receipts, deposit slips, credit advices).
• Liaise with banks and ensure timely receipt of bank statements.
• Reconcile bank ledgers and address unexplained transactions.
• Maintain advance books and cash journals for staff advances.
• Monitor and balance bank accounts regularly.
2. Accounting Procedures and Financial Management
• Verify invoices and supporting documentation for mathematical accuracy and procurement compliance.
• Review travel expense claims and staff advance requests.
• Check validity of salary/benefit payments for consultants and contract staff.
• Monitor and adjust accounts for prepaid, accruals, and rentals.
• Prepare disbursement vouchers, checks, bank transfer requests, and ensure documentation is complete.
• Support internal and external audit processes.
3. Monthly Closing Support
• Manage and review monthly financial closing including data entry and integration.
• Ensure compliance with financial coding, exchange rates, and cash payment rules.
• Oversee voucher verification and invoice accuracy.
• Monitor CO cash-flow and ensure timely replenishment of bank and petty cash.
• Prepare cash-flow forecasts in collaboration with logistics and program teams.
4. Documentation and Filing
• Submit coding slips and checks for authorization and follow up on signed items.
• Maintain a secured register and storage for signed checks.
• Scan, copy, and file financial documents systematically (GL slips, transfer requests, donor-related documents).
Qualifications:
• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• Minimum 3 years of experience in finance or any other relevant field.
• Knowledge of financial reporting, donor, and grant management.
• Experience in accounting and Microsoft Excel.
• Knowledge of current administrative rules and regulations for financial administration.
• Strong understanding of tax and fee regulations and the ability to apply this knowledge effectively.
• Proficiency in automated systems and advanced Excel skills.
• Ability to adapt to and manage in high-stress, delicate, and potentially unstable environments, especially within the challenging context of Lebanon.
• Good oral and written presentation skills and training/workshop facilitation skills
• Working calmly under pressure and meeting strict deadlines.
• An ability to work on own initiative, as part of teams of people of diverse backgrounds, and to have a flexible attitude towards work.
• Excellent communication skills in spoken and written English and Arabic.
