Receptionist - Beirut

CHILD SAFEGUARDING:

Level 3 - the responsibilities of the post may require the post holder to have regular contact with or access to children or young people

SCOPE OF ROLE:

Reports to: Admin Officer  

Reporting to: none

Budget responsibility: none

KEY AREAS OF ACCOUNTABILITY:

Reception:

  • Handle phone calls and receive visitors to the office, and direct them to relevant staff member
  • Receive goods from external parties, and ensure delivery to relevant staff member
  • Ensure presence in the reception area at all times during office hours
  • Ensure that the reception area complies with health and safety regulations, and generally remains tidy, at all times.

 

Administration / Logistics:

  • Provide logistics and admin support for visits, meetings in the office, when requested
  • Support with general Admin tasks (invoices, PRs for office supplies etc.) and filing
  • Assist in updating admin trackers (phone tracker, visitors’ tracker, rechargeable cards, etc…)
  • Maintain office contact list (maintenance, landlords, suppliers, etc…)
  • Provide staff with business cards, ID access cards and rechargeable prepaid mobile cards
  • Prepare cleaners’ timesheets and payments

 

Other:

  • Perform other duties from time to time as requested by the incumbent’s supervisor which are reasonable in relation to the post holder’s level of skills and experience
  • Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of crisis or emergency.

  • Minimum university undergraduate or vocational degree in administration.
  • Minimum of 1 year experience in the administrative field
  • Good verbal and written communication and organizational skills.
  • Ability to plan and organize and work in a systematic and organized manner.
  • Detailed oriented.
  • Customer service oriented.
  • Strong team player with high team spirit and positive attitude.
  • Flexibility under pressure and in response to changing needs.
  • Productive and responsive to instructions and project policies and regulations.
  • Taking initiative, stress tolerant and reliable.
  • Computer knowledge especially MS office, spreadsheet, PowerPoint, outlook and lotus notes
  • Bilingual English and Arabic (French is an addition)
