Secours Islamique France (SIF) is a Non-Governmental Organization of international solidarity based in France. Founded in 1991, SIF is an apolitical neutral organization whose objective is to provide immediate and long-term support to vulnerable population affected by natural disasters, armed conflicts and other types of crisis.
SIF has been present in Lebanon since 2012, aiming at distributing assistance to the Syrian refugee populations affected by the conflict in Lebanon. This program allowed SIF contributing to the improvement of the well-being of the children and their families
In response to the current crisis in Syria, SIF is expending its humanitarian response and will scale-up its emergency support to Syrian refugees and affected population. SIF is currently recruiting a data entry clerk to begin immediately; he/her will be based in Beirut, will support SIF’s Child friendly spaces in Ain er Roummaneh and in Bakaata, Chouf, Mount Lebanon.
Furthermore, the data entry clerk will be in contact with other SIF members to harmonize and share tools as well as lessons learnt.
This data entry clerk part of the Protection Program team of SIF-Lebanon, Under the direct responsibility of the data base officer, in close collaboration with the Program Coordinator and Project Manager
MISSION CONTEXT
The SIF project aims support the affected population, assess their needs and provide adequate internal services and referrals to existing services. The data entry clerk jointly with the team will ensure the identification of most vulnerable beneficiaries in need through data collection, data entry and management
Main tasks and responsibilities
1. Ensure the global quality of the data entry:
Collect and enter the data collected by the field team in the database in the appropriate databases and using Mobile Data Collection to gather structured information using tablet devices:
- Attendance sheets
- Assessments and surveys information
- Follow up information
- Distribution information
- Monitoring information
Ensure quality of the data entered:
- Ensure all data entered are correct
- Cross check with paper versions
- correct tablets data
- Checking for duplicates beneficiaries with another NGO/UN using RAIS tools.
- Preparing beneficiaries lists’ to be visited by social workers.
- Prepare the tablets for the field team
2. reporting
- Generates comprehensive quantitative data reports on activities and key indicators
- Extract data and creating charts, figures and tables using Excel when required.
- Meeting with SIF staff when it's required.
- Propose and ensure adaption’s of the database according to the project’s needs,
- Report any discrepancies between the database and the documents used by the teams on the field
Regularly report to the database officer and PM or the Program Coordinator about your work
- Daily report on quantity of data entered
- Daily report of issues encountered
- Extract data upon Program Coordinator, Program managers and database officer request.
4. Arrange files:
- Organize paper Files and archive all hard copies in a proper way.
- Keep clear files in need to be entered in database
- Range all soft copy files in proper place and name in proper way all documents (yy/mm/dd name_of_file)
5. Ensure confidentiality of the data management:
- Respect the total confidentiality of the data collected and entered
- Ensure to never speak about data out of the office
- Ensure security of the database and files
6. Demonstrate an ethic and professional practice:
- Respect beneficiary confidentiality.
- Respect and promote SIF’s Policies and report to your line manager any non-respect of SIF’s policies amongst the teams or partners.
- Address needs and requests in a professional way.
- Report any incident or act that causes any harm to beneficiary or to others.
- Always respect a refusal of treatment.
7. Demonstrate willingness to improve professional competences and abilities to increase care quality:
