Position: Office Clerk
Base: Beirut
Secours Islamique France (SIF) is a Non-Governmental Organization of international solidarity based in France. SIF is an apolitical neutral organization whose objective is to provide immediate and long-term support to vulnerable population affected by natural disasters, armed conflicts and other types of crisis.
SIF has been present in Lebanon since 2012, implementing projects aiming at distributing assistance to the Syrian refugee populations affected by the conflict in Lebanon. This program allowed SIF contributing to the improvement of the well-being of the children and their families.
In response to the current crisis in Syria, and the growing numbers of refugees coming to Lebanon, SIF is expending its humanitarian response and will scale-up its emergency support to Syrian refugees and affected population. SIF is currently recruiting Office Clerk to begin immediately.
The office clerk will be based in Beirut with the administration department; will support SIF’s main office in Beirut and specially the administration and Logistics team. Furthermore, s/he will be in contact with other SIF staff members to provide support when needed.
The Office Clerk is part of the Syrian Refugee Support Program team of SIF-Lebanon and will be under the line management of the Deputy Administrative and Finance Coordinator.
MAIN RESPONSABILITIES
Maintain files and records so they remain updated and easily accessible
Communicate with beneficiaries, employees, and other individuals to answer questions, disseminate or explain information, take orders and pay commitments.
Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
Answer the phone to take messages or redirect calls to appropriate colleagues
Help organize office activities.
Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.
Undertake basic bookkeeping tasks and issue invoices, checks etc.
Take minutes of meetings and dictations
Assist in office management and organization procedures
Assist in making travel arrangements and booking venues for conferences and events, and expense reports for staff
Hang up company policies around the office.
Ensure proper functioning of the office equipment.
Schedule meetings and conference rooms.
Coordinating the maintenance and repair of devices for the workplace.
Post work schedules.
Assisting management personnel in wide variety of workplace responsibilities.
Prepare payroll checks.
Perform other office duties as assigned
Reports directly to SIF’s Beirut Office, to the Deputy Finance and Administrative Coordinator.

PERSON QUALIFICATIONS
Proven experience as office clerk or other clerical position
Familiarity with office procedures and basic accounting principles
Working knowledge of office devices and processes
Very good knowledge of MS Office
Excellent communication skills
Very good organizational and multi-tasking abilities
High school diploma
WORK RELATIONSHIPS
Line manager: Deputy Finance and Administrative Coordinator
In direct cooperation with: Admin Assistant and Logistics Officer
JOB CONDITIONS
Remuneration: according to SIF salary grid
Starting date: 17th May 2017
Duration/ Type of contract: Till end of September
