Semeurs d’Avenir is a Lebanese non-for-profit organization operating in the field of vocational and educational training. Semeurs D’Avenir has been operating in Lebanon since 2010. Along with its sister-NGO Institut Européen de Cooperation et de Développement (IECD), a team of thirty people runs about ten projects in the country.

 

Semeurs d’Avenir and IECD are looking for an Administrative Assistant.

 

MISSION: Provides administrative, secretarial and clerical support to others in the office to maintain an efficient office environment.

 

 

Main Job Tasks and Responsibilities

  1. Errands:
    • Perform work-related errands as requested such as going to the post office, bank, National Social Security, Ministry of Finance, Clients, Suppliers and IECD & SDA Collaborators.
  • Ensure that all the Organization cars are well maintained.
  • Perform all the formalities of the organization cars.
    • Purchase office, Kitchen and Hygienic Supplies.

 

  1. Administrative Support:
  • Provide General support and hospitality to Visitors.
  • Answer phones and transfer to the appropriate staff member; take and distribute accurate messages.
  • Fax, Scan and Copy documents.
  • Collecting and distributing couriers or parcels among employees.
  • Update the organization equipment’s and machines inventory list.
  • Monitoring the use and the maintenance of the equipment within the office.
  • Develop and maintain the organization archive.
  1. Communication and events:
    • Assist with event planning and implementation.

 

 

EXPECTED PROFILE

  • Education: High School degree with basic office skills, Experience in clerical activities.
  • Experience: At least 3 years as an office boy and Administrative Assistant.
  • Skills and qualities expected:

- Knowledge of office management systems and procedures.

- Working knowledge of office equipment, like printers and fax machines.

- Knowledge in MS Office (MS Excel, word and, in particular).

- Excellent time management skills and the ability to prioritize work and trustworthy.

- Attention to detail and problem-solving skills.

- Excellent written and verbal communication skills.

- Strong organizational skills with the ability to multi-task.

- Accuracy, Reliability and Teamwork Spirit.

- Proficiency in written and spoken French or English.

CONDITIONS

 

Statute: employee contract, CNSS + insurance

Start date: as soon as possible, minimum for one year

Location: Beirut – Lebanon

Under the supervision of Administrative and Accounting Manager, based in Beirut

Close collaboration with the IECD Country Representative in Lebanon.

Package: To be defined according to profile and experience
