Administrative Assistant

SMART Center is implementing a project entitled “Women Towards Parliament" aims to improve the participation and influence of women in the political process in Lebanon before the legislative elections in 2013, through implementing a national media strategy that will promote positive image of potential women candidates. This national campaign will achieve a breakthrough in the number of women participating as voters and their confidence in women candidates, which will increase the number of women participants in the parliament. In addition, SMART Center is also implementing another project entitled " One Voice Can Change". This project is a contest among youths to produce a 1-2 minutes public service announcement (PSA) to raise the awareness of the Lebanese public especially youth voting for the first time in Lebanon on the power of peoples' votes, election's integrity, democratic elections process and accountability. The topics of the PSA will be selected by the youth in collaboration with a group of experts and consultants in the fields of elections and film production. The PSAs will be filmed and screened in universities and on TV stations to raise the awareness based on peer to peer learning concentrating on elections' integrity and the power of each vote to make a change. The youth will receive one week training on producing PSAs, methodology of delivering the message through PSAs, leadership, public speaking, conflict resolution, skills for facilitators. The project is in need of an Administrative Assistant who will assist the Project Manager in full time position for 50% in each of the projects. Main Job Tasks and Responsibilities Coordinate and manage all aspects of Secretariat  (eg Meetings management, Agendas & Minutes, etc) Coordinates the preparation of all Reports to Committee/Board Provide leadership in the development of organizational objectives, mission, goals, plans, budgets & Projects Interfaces between Committee/Board and all staff Ensure the development and implementation of – Strategic Plans, Operational Plans, The efficient coordination, facilitation, and management of the organization’s activities & operations Takes responsibility, through management role, for project and organizational Objectives Communication with stakeholders Coordinate and manage all organization “events” (eg field days, etc) Maintain and coordinate financial management protocols & practice Review approved plans and budgets as required Effectively manage all staff relations Determines staffing requirements for projects and activities Ensure appropriate communication systems are in place, for all staff (eg staff meetings, Project reporting, etc) Key competencies Excellent prioritizing and planning skills Quick learner with a capacity for creative problem solving Teamwork and good communication skills People handling skills Exercise high level of interpersonal skills. Ability to coordinate and plan. Able to work with limited supervision. Honest with a high degree of personal integrity Personal initiative. Team player.
