Full-Time Volunteer - HR & Admin Unit

Job Overview
We are excited to invite a motivated and passionate individual to join our team as a full-time volunteer in the HR and Admin Unit. The selected candidate will work closely with the HR and Admin Officer to assist in the Human Resources and Administrative functions. This position provides an excellent opportunity to gain practical experience in general HR activities and various administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude.
Responsibilities
Admin, Logistics and Procurement:
- Following up with staff members to determine procurement needs and drafting the procurement requisitions in accordance with SMEX Procurement and Finance Policy.
- Maintaining office inventories and coordinating equipment maintenance and repairs.
- Updating petty cash reports, entering data and documenting all invoices hard and soft copies.
- Taking minutes of meetings.
- Handling and tracking logistics for organization events, meetings and training sessions (ticketing, accommodation, taxis, venues, catering, etc.)
- Undertaking other admin duties, as required.
Human Resources:
- Diligently adhering to and executing the organization’s established HR policies and procedures, following best practices.
- Advertising job offers and assisting in the interviewing process of qualified staff.
- Ensuring the smooth running of HR-related administrative tasks, such as data entry, documentation and updating tracking sheets.
- Assisting with staff requests for various documents.
- Performing other relevant tasks as assigned by the HR & Admin Officer.
Qualifications
- Proven experience in administration, logistics, and procurement support.
- Knowledge of HR procedures.
- Strong skills in data entry, record-keeping, and documentation (both digital and physical).
- Proficiency in Google Workspace (Sheets, Docs, Drive)
- Excellent English and Arabic communication and writing skills.
- Familiarity with SMEX's core work and a shared commitment to human rights values, including privacy, users’ rights, digital surveillance, data protection, freedom of expression, accessibility, and open culture.
