Who we are:
Solidarites International is an international humanitarian organization which provides aid and assistance to victims of war or natural disaster. For over 30 years the association has focused on meeting three vital needs - water, food and shelter - by carrying out emergency programmes followed by longer-term reconstruction projects. Whilst fully respecting the assisted populations’ customs and culture, SolidaritesInternational’s programmes are implemented through the joint expertise of around 180 expatriates and 1500 local managerial staff and employees. Solidarites International is currently present in Africa (Central African Republic, South Sudan, Kenya, Somalia, Mali, Niger, Mauritania, Chad, Democratic Republic of the Congo, Ivory Coast), in Asia (Afghanistan, Thailand, Bangladesh, Myanmar and Pakistan), in the Middle East (Syria and Lebanon) and in Haiti.
MISSION
Goal/Purpose
The HR Assistant assists the administrator with all HR related tasks and procedures.
He/she supports the HR management of nationals and expatriates on the mission
JOB
List of main activities:
HR management of nationals
Conduct the administrative briefing for new employees
Ensure the administrative follow up of expatriates within the SI mission
Keep up to date with all changes associated with employment law, charges and contributions.
Collect the necessary information to monitor changes in the cost of living
Assist the administrator for the administrative management of recruitment process and hiring
Ensure that procedures for recruitment and terminating contracts are adhered to
Prepare new employment contracts
Draw up administrative documents relating to employment contracts
Conduct the follow-up of annual performance reviews
Prepare final settlement for employees ending their contract
Ensure proper archiving and monitoring of the individual HR files
Assist the administrator during meetings with personnel representatives
Collect payment details and integrate them into the Human resources management software Homère
(Leaves, advances, overtimes,…etc)
Ensure the confidentiality of all HR data’s
Track and monitor expiry dates of contracts, end of probation periods, expiry of work permits and visas and report to Administratorfor follow up actions with the line managers.
Ensure the collection of absence, leave statistic, sickness reports, new/end of contract statistics and update the HR files.
Prepare pay slips and ensure payment of salaries after approval by the administrator.
Ensure that the organizational chart of the base is up to date.
Participate in the application of policies relating to salaries and benefits for Solidarite's International and Ensures that the personnel policy is explained, known (staff regulation, regional scale, etc) and that it is, with the support of the administrator, correctly implemented
Ensurethat the Job Descriptions are up to date
Adheres to HR Policies and Procedures and acts as a role-model to all employees
Prepare the calculation and payment of NSSF (social security) and income taxes via Ministry of Finance (monthly and yearly) as well as all other annual declarations to Ministry of Finance
Ensure that a close follow up of the evaluation/appraisals deadlines is done and inform the managers accordingly
Team management
Assist with HR training sessions for the administrative teams
§ Ensure minimum staffing levels for the administrative service during periods of absence (vacation, illness...)
Administrative management of the mission
Ensure physical and IT archiving, as well as securing administrative documents
Conduct the quarterly mailing of administrative archives to HQ after internal inspection
