Information Management Chatbot Project Manager

PRESENTATION OF THE ORGANIZATION

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation, and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

DESCRIPTION OF THE POSITION

General objective:

• Under the supervision of the IM Coordinator, the IM Chatbot PM oversees the content, design, and usage of the SOLIS Bot on the mission and leads the internal and external development and deployment of the SOLIS Bot in Lebanon.
• He/She defines a strategy to ensure continuous and qualitative use of IM chatbots on the mission and designs user focused trainings and documentation on these tools.
• He/She manages the budgets, activities, projects, and programs that aim to make us of, or expand the SOLIS Bot on the mission and elsewhere. In collaboration with the IM Coordinator, the IM Chatbot PM also devises a global strategy for the SOLIS Bot expansion at mission and organizational levels, applies for funding opportunities, and defines the needed HR structure for IM chatbots to be maintained.

The main challenges:

• Ensure the Bot is a sustainable and replicable tool.
• Define roles and responsibilities at mission and HQ level on the project.
• Bot's usage is not free and has to be financially sustainable.

Priorities for the 2/3 first months:

• Get to know the Bot's project and be able to fully present it to external stakeholders.
• Develop a strategy at mission level for Bot ownership and deployment.
• Collaborate with HQ's Bot steering committee to support making the SOLIS Bot an institutional tool.

Responsibilities and main activities:

IM Strategy:

• Design and implement yearly strategy on IM Chatbots successful local implementation, sustainability, and resilience, at SI mission level.
• Ensure IM Chatbots are continuously used in accordance with mission strategy, as well as usage and security standards.
• In collaboration with the IM Coordinator, propose and implement a yearly plan on SOLIS Bot (or other Chatbots as relevant) external deployment, including other SI missions, external NGOs active in Lebanon, and external organizations outside of the Lebanese context.
• Manage partnerships related to the usage of the SOLIS Bot and other IM chatbots. Engage and collaborate with partners to ensure partnership agreements are respected, and the partnership follows IM, MEAL, and general mission objectives.
• Continuously stay informed on latest technologies and chatbots updates in Humanitarian action and elsewhere. Propose initiatives and strategy adaptation accordingly for IM chatbots deployment.

Project Management and Implementation:

• Ensure effective implementation, on the IM side, of activities involving the SOLIS Bot or other IM chatbots.
• Lead and manage projects revolving around the usage of deployment of the SOLIS Bot or other IM chatbots, including project design and development, project implementation and monitoring, logistics requirements, project communication and reporting, budget management and follow-up, and HR management when relevant, conduct regular assessments and provide project adjustments if necessary.
• Develop comprehensive project management tools, including workplans, activities timelines, indicators trackers, risks assessments, partnerships follow-up and establish monitoring and evaluation mechanisms to track project progress.
• Project Risks management: identify potential risks and develop mitigation strategies to ensure project success.
• Compliance and accountability: ensure project activities are aligned with SI and donors’ standards, ensure transparency and accountability throughout the project timeline.

Content & Community management:

• In collaboration with the MEAL department, ensure consistency, quality, and compliance of Community Feedback Mechanism on IM Chatbots.
• In collaboration with the MEAL department, frequently review IM Chatbots informational content for relevance and potential update needs.
• Provide advice and support on SOLIS Bot forms designs for the MEAL & Program departments and ensure creation of the needed content and forms required for their activities.
• In collaboration with Program teams, design ways of using the SOLIS Bot or other chatbots for activity monitoring and information sharing on specific projects or activities, and support in the creation of such tools.
• Support on SOLIS Bot broadcast template structure and design, conduct broadcasts and report on broadcasts results to the relevant stakeholders.
• Ensure regular field visits are conducted to collect feedback on the usage of IM chatbots from the affected population.
• Conduct regular base visits to collect feedback from Program and MEAL teams on IM Chatbots
• Produce and ensure training for affected population to learn how to use SOLIS Bot services.
• Produce and ensure training of trainers for SI staff on SOLIS Bot services for affected population.
• Conduct training and presentation of the SOLIS Bot or other IM digital tools to external stakeholders.
• In collaboration with the IM technical team, engage in testing Bot prototypes, and suggest new features, bug corrections, improvements on the SOLIS Bot and other IM digital tools in accordance with IM strategy, mission objectives, and user feedback.
• Manage data on the Bot and its platform in accordance with Data Protection Policy and SOPs on the mission.

Reporting, Documentation & Representation:

• Define and produce SOPs and end-user manuals for IM digital tools at mission level.
• Produce quarterly reports to give an overview of IM chatbots deployment, activities, uses, feedback, and changes, and a summary of IM chatbots usage and evolution on the mission and elsewhere.
• Ensure regular production of communication & promotional material for the SOLIS Bot and other relevant IM digital tools, including videos, pictures, brochures, pamphlets, reports…
• Represent Solidarités International externally when necessary (during meetings, workshops, trainings, events, or field visits).

PROFILE NEEDED

Studies: Preferably marketing, communication, graphic design, project management, humanitarian action or similar

Experience: Experience in the humanitarian field solely in IM or MEAL

Language: Fluent Arabic and English is required.

IT: Basic IT knowledge required. Advanced knowledge is a plus
Qualification: Excellent communication and redaction skills are required as this position will have to be able to look for funding opportunities, communicate with partners, draft partnership agreements, and produce frequent reports on the IM Chatbots

A salaried post:  2300 USD as basic salary
