MISSION
Goal/purpose:
To provide the best and most efficient Logistics support to the Base implementing Refugee support programmes/projects and further projects in the Zahle Base, Lebanon.
JOB
Personal requirement:
Flexible with overtime/working hours, detailed oriented , excellent organisational skills, ability to priorities the tasks, enable to work in stress, initiative, postive and help to built a good team spirit.
Organizational skills and understanding of importance of prioritizing the tasks. Flexible at work and working hours. Being autonomous and able to fulfil his/her tasks with minimum supervision.
List of main activities:
Management of supplies
Apply and control SI procedures to all purchases of supply/services/work contract;
Update price lists and vendor databases for goods/services/work;
Process IOF, quote requests, bid analysis;
Ensure the collected documents are compliant with SI procedures: supplier stamp, signature, date, SI criteria …. Etc.
Draft contract supply/service/work;
Contribute in assessing the quality of the purchase/services/work in accordance with the technical advisors;
Prepare the treasury plan for all payments under the supervision of the line manager and send request to Admin department;
combine and archive purchase folders;
Implement purchases, monitoring adherence to validation regulations and procedures;
Negotiate prices, deadlines and methods of delivery;
Ensure that relationships with suppliers are monitored;
Report any difficulty/issue with supplier to the line manager.
Professional interaction with Program team
· Communicate any problems encountered during delivery/collection of program equipment;
Take part in weekly meetings between the logistics and program departments so as to understand the priorities;
Propose, set up and update daily requirements/priorities between the logistics service and the program team;
Regular visit to site for ensuring the work is going well upon line manager request and with the coordination with WaSH team.
Management of warehouse
Make sure the storage management procedures are respected (when it is the case): stock items request, stock cards, delivery Notes;
Supervise the maintenance and securing of warehouses;
· Ensure the follow up of the equipment used on the mission-store (identification, inventory, affectation, proper use by the user) through a weekly update.
Ensure Logistics Reporting
Respect reporting deadlines.
Other Tasks:
Ensure team spirit and motivation within the Log Team;
Establish and Ensure effective relationships with all other stuff;
Participate in trainings as an trainee or/and trainer, if needed;
Able and willing to support the Logistics team in other tasks, such as emergencies, providing expertise when needed, or other logistics tasks as required by superiors.
