We are looking for an experienced Procurement Officer who will be responsible for overseeing and managing the procurement process to ensure the efficient and cost-effective acquisition of goods and services that support our programs.

About the position:

The Procurement Officer plays a key role in ensuring the effective procurement and supply chain management of goods and services necessary for Tabitha’s programs. The role includes managing supplier relationships, ensuring compliance with procurement policies, negotiating contracts, and overseeing the timely and quality delivery of supplies.

Key roles and responsibilities:

  • Prepare procurement plan as per the projects requirements
  • Coordinate with the project officer to conduct negotiations with suppliers regarding product quality, prices, specifications, discounts, penalty conditions, returned goods, delivery mechanisms, and payment methods.
  • Identify profitable suppliers and initiate partnerships following Tabitha procurement procedure
  • Negotiate with external vendors to secure advantageous terms
  • Assist in purchasing and collecting quotations
  • Finalize purchase details of orders and deliveries
  • Examine and manage existing contracts
  • Collaborate with key persons to ensure clarity of the specifications and expectations
  • Control spend and build a culture of long-term saving on procurement costs
  • Review all the logistics invoices and keep data updated
  • Archiving (Logistics Files and settle procurement files)
  • Controlling projects in terms of procurement and logistics needs
  • Visit project locations to send or receive materials when needed.
  • Communicate with other key departments—logistics, communication, finance, and administration—when needed.
  • Ensure that organizational assets and equipment are in perfect condition.
  • Ensure that the asset list is updated on a quarterly basis
  • Participate in training opportunities.
  • Track and report key functional metrics to reduce expenses and improve effectiveness.
  • Collaborate with key persons to ensure clarity of specifications and expectations.
  • Perform risk management for supply contracts and agreements.
  • Supervise stock management and support the PO and PM in completing purchase orders.
  • Prepare budgets, costs analysis and reports
  • Perform other tasks as necessary.

  • Aptitude in decision-making and working with numbers
  • Strong leadership capabilities
  • BSc degree in Business Manageement, Suppy Chain or any related field.
