HR Intern

The HR Intern supports the Human Resources Department by ensuring accurate and organized documentation of employee records through scanning, filing, and archiving. This role helps maintain the integrity, confidentiality, and accessibility of both physical and digital HR files, contributing to compliance with organizational and legal requirements. The intern also provides basic administrative assistance to facilitate smooth HR operations.

HR Intern Responsibilities:

  1. Document Management
    • Scan physical HR documents to create digital records.
    • Organize scanned files in the appropriate electronic folders following HR naming conventions.
    • Ensure the confidentiality and security of all personnel files and sensitive information.
  2. Filing & Archiving
    • File hard copies of employee documents in designated personnel files.
    • Maintain updated, complete, and orderly physical and digital filing systems.
    • Support the periodic review and cleanup of HR files to remove duplicates or outdated records.
    • Prepare closed employee files for archiving according to HR policy and retention schedules.
  3. Administrative Support
    • Assist the HR team in tracking documents received from employees (e.g., contracts, timesheets, leave requests).
    • Label and update file indexes and folders as needed.
    • Support the organization and labeling of shared HR folders, cabinets, or archives.
  4. Support to the HR Team
    • Assist with preparing HR documents for audits or internal reviews.
    • Provide basic administrative support during recruitment, onboarding, or payroll preparation when requested.
