Administration and Finance Manager
- Contribute to the development and consolidation of TDH Procedures and Policies in collaboration with the Senior Management
- Facilitate the work of the Country Admin, to improve the coordination/quality/timeliness within the departments at offices and delegation level
- Ensuring the sound financial management of the resources within the scope of operation
- Ensuring financial planning, budget follow up and monitoring in line with TDH standards
- Coordinating, supervising, monitoring the work of the admin staff (Admin/FOs/Accountant, etc.), providing guidance, training and coaching as needed
- Supervising and motoring the regular book-keeping, filing etc. performed by the financial/admin staff for the organization at office level in line with TDH procedures
- Preparing the financial reporting as requested and obtaining approval from CA/HQ as requested
- Preparing budget and related documents for new proposal or revisions in coordination with the PM and the Country Admin
- Supporting the Country Admin for all that the delegation is concerned including financial/HR recourses according to planning and needs including customs, taxation, follow-up of the national laws, VAT, etc.
- Relationship with partners (banks, Lebanese administrations, INGO Forum, local partners) as far as the Operation is concerned, and as required
- Training, capacity building and coaching of Office staff, Partners, TDH colleagues in country and in the region according to an agreed working plan
Logistic and Procurement
- Facilitate the work of the Logistic and Procurement Coordinator, to improve the coordination/quality/timeliness within the departments at offices and delegation level
- Line management and supervision of the Logistic and Procurement staff, including training, coaching in the sound application of the Procedures, among them:
- Supervision of buildings maintenance (office, guesthouse)
- Supervise all purchases and procurement to ensure that TDH standards and procedures are implemented and respected
- Supervision of asset and inventory, fleet, etc.
Human resources
- Support in the correct application, development, consolidation of the HR Policies of the Delegation
- Facilitate the work of the HR Manager, to improve the coordination/quality/ timeliness within the departments at offices and delegation level
- Participate in the recruitment/selection process and panel
- Coordination and Supervision of the HR staff/focal point in their daily and regular task, including (not limited to): Personal filing, insurance, registration, payrolls, leaves, contracts, etc.
Reporting and meetings
- Regular Weekly Office staff Coordination Meetings
- To assist in all relevant meetings in relation to administrative and human resources work
- Financial reporting
- Other reports on demand
Supervision and coordination
Supervision of:
- Admin, Logistic and procurement, HR staff
- Office and field staff in coordination with the Program Manager
Qualifications required:
- Bacheleor degree in Administarion and Finance
- A minimum 5 years experience in relevant field
- Previous experience in INGO is a plus
- Computer literacy Microsoft word, Exxcel, outlook, etc..
- Punctual, solution orieneted and good communication skills
- Fluent in English and Arabic
