Job organizational context:
The Administrative Assistant (Assets and Supplies) specific JD, at the G5 Level, is used in a UNICEF country office and reports to the Admin Finance Officer at NOB Level.
Purpose for the job:
Under the direct supervision of the Admin Finance Officer, The incumbent will support the overall management and control of expendable and non-expendable UNICEF assets, assets disposal and renewal of inventory data, executes processes and transactions ensuring high quality and accuracy of work.
Key function, accountabilities and related duties/tasks:

Assets Management:
Assists the Administrative Officer in preparing estimates on office premises, supplies and equipment requirements for budget preparation purposes.
Creates and amends the Asset Master Records (AMRs) , Asset Purchase Requisition (PRs) and follows up on Purchase Orders (PO) issuance
Receives, inspects and verifies of all incoming equipment, furniture and supplies and schedules deliveries to users.
Tags all furniture/equipment upon receipt from the supplier. Updates of non-expendable property inventory record and track movement of furniture piece;
Updates the inventory management system including attractive items that not registered as assets.
Supports to the management on physical assets disposal. Documentation preparation for submission to PSB; follow up on request and liaise with requesting unit and maintenance for disposal action and entry in VISION of all the requisite details for recording disposals;
Supports the annual physical inventory verification exercise by checking the accuracy of records and location of property
Maintains the filing system ensuring safekeeping of confidential materials
On/Off boarding
ID issuance and renewal letter for newly recruited Staff Members (SM) and consultants.
Provides newly recruited SMs with ICT equipment i.e Radio, Laptop, access cards and mobile. Issuance of property on loan letter.
Other
Drafts correspondence, and reports via oral instructions, previous correspondence or other available information sources, in accordance with standard office procedures
Custodian of Petty Cash; monitors all cash requests, properly documents and disburses according to UNICEF rules in a timely way, replenishing promptly as needed under the guidance of Supervisor.
The key results have an impact on the efficiency of the unit. Accurate data entry, presentation of information and client-oriented approach enhances UNCIEF LCO capability in assets management.

Recruitment Qualifications:
Completion of secondary education, supplemented by diploma or certificate in the administrative field.
Six years of progressively responsible clerical and administrative work.
Fluency in both written and spoken English and Arabic required.
