PURPOSE: Under the general supervision of the Supply & Logistics Specialist in Beirut, and in coordination with the Logistics Specialist in Damascus, performs a variety of information gathering, monitoring, technical and administrative services of moderate scope and difficulty, in support of programme activities.
MAIN DUTIES AND RESPONSIBILITIES:1. Support in the coordination of all supply and logistics related services for Syria Country Office.2. Monitors and tracks all air and sea shipments for Syria Country Office whilst in transit via Beirut airport and port, and ensure their smooth, timely receipt/transit and onward delivery to UNICEF Partners or Warehouses in Syria.3. Monitors and tracks all procurements for Syria Country Office placed with suppliers in Beirut and ensure their smooth and timely delivery to UNICEF Warehouses or Partners as per the request and distribution plans provided by the logistics unit in Damascus.4. Receive, check and sign against all invoices related to supply and logistics services provided to SCO for completeness, validity and that they have all related supporting documentation for processing and present them to the logistics unit in Damascus for processing. Follow up with the service providers for completeness and continuously update the invoice monitoring/tracking tool for all the service providers and provide a summary report to the Logistics Specialist on a bi-weekly basis.5. Support in coordination and ensures that all relevant documentation/information/instruction related to SCO are shared with the logistics unit in Damascus for smooth clearance and receipt/delivery of supplies at/to warehouse level and/or at/to implementing partners in Syria.6. Support with transportation and distribution of SCO procured supplies from local suppliers in Beirut to UNICEF warehouses in Damascus, Tartous, Aleppo, Lattakia and Homs and/or to UNICEF Partners and project sites in Syria through coordination with the UNICEF appointed freight forwarders.7. Support with the coordination of customs formalities and follow up on all logistics related transactions and formalities i.e. customs clearance, exemption letter applications, facilitation letter applications etc. for entry into Syria through Jdaydet Yabous/Masnaa Border Crossing.8. Ensure all delivery confirmation documents are obtained from UNICEF freight forwarders and service providers after delivery completion and presenting them to the logistics unit in Damascus for updating VISION accordingly. 9. Support with warehouse and inventory management activities including but not limited to physical counts, warehouse to warehouse transfers, inventory impairment etc…on SCO items in Lebanon warehouses.10. Any other duties as requested by the supervisor.
MINIMUM QUALIFICATIONS AND EXPERIENCE:•Completion of secondary education, preferably supplemented by technical or university courses in a field of discipline relevant to the job is an asset.•Seven years of progressively responsible clerical or administrative work, of which at least one year is closely related to support of programme activities.•Fluency in English Arabic.
