Assistant Admin Officer ( Noa – Unhcr Ta ) – Beirut - Hrs088

Responsibility Monitor all in-house maintenance works in Beirut (Khater/LEA) i.e. generators, plumbing works, electrical and AC maintenance including required support to field offices. Inspection of sites for any projects to be undertaken by BO Beirut and field offices, submitting of relevant drawings and BOQ’s including final evaluations for contractors during bidding processes and working closely with selected contractors to ensure quality in services being rendered to UNHCR. Establish a preventative maintenance policy to identify and deal with repair needs. Undertake market surveys and recommend contractors who have been vetted for competitive price and delivery lead time including quality of goods and services. Assign jobs to different parties (in-house employees, handyman and other professional contractors) based on work to be done in the office premises. Work closely with current service providers in BO Beirut.  Maintain and monitor a 24 hour emergency repair hot-line for emergency services with contractors under frame agreements (i.e. elevator maintenance, generator, plumbing, electricity and others).  Follow the duly stipulated procurement rules and prepare the relevant documents to suppliers while sourcing for service and goods and ensure payments are made in good time according to set procedures including swift purchases of any goods and services within the admin threshold. Build a good working relationship with all UNHCR stake holders within the country, especially all relevant government authorities and UN agencies. Supervision of subordinates and play a leading role in team building. Assist in drafting of lease agreements. Ensure all procurement requests above the admin threshold are referred to the supply unit and orders placed in good time to avoid delays in delivering services to all requesting units.
