-Arrange appointments and maintain the Supervisor’s calendar, receive visitors, place and screen telephone calls and answer queries with discretion. -Manage the flow of information to/from the Supervisor and other senior staff; identify priority matters that need to be urgently addressed by the Supervisor. -Organize and maintain the calendar of inter-agency and sector meetings, draft the agenda and minutes of inter-agency meetings, note action points agreed on at the meetings and bring to the attention of the Assistant Representative for Coordination and/or the Senior Inter-Agency Coordination Officer for follow-up. -Compile and maintain a contact list of inter-agency focal points and agencies. -Draft non-substantive correspondence and ensure follow-up. -Type correspondence, documents and reports, and prepare tables. -Prepare background information for meetings to be attended by the Supervisor (i.e. agenda, information on the person/organization, information on the topic). -Maintain the electronic and paper-based filing systems for coordination. -Ensure timely administrative procedures regarding field missions (security clearance, mission request, etc.). -Assist the Sector Coordinators when necessary and provide secretarial and administrative advice to the Senior Inter-Agency Coordination Assistants as required. -Perform other related duties as required.
