Programe Assistant, Sc6

The Programme Assistant will be based in the north and will provide assistance to the immediate supervisor and /or Head of the Office/Unit to ensure that routine services and activities within the Programme domain are implemented. Subject to the nature of the task/assignment in hand, s/he will receive regular guidance from his/her supervisor. S/he will maintain also close working relations with selected UNHCR implementing partners, contractors and suppliers. The incumbent will be working in a discreet and confidential office environment, where sensitive financial information as well as of the refugees will be discussed and documented. The ability to work in a coordinated manner as well as courteous and confidential is the salient features of this position.   Manage programme budget of UNHCR operation inNorth Lebanon(resource allocation and budget update) Follow-up on and where needed expand partnership/implementing partner arrangements for North Lebanon activities in close coordination with programme unit at central level; Provide inputs to the weekly situation reports forNorth Lebanon; Conduct regular needs assessments inNorth Lebanon; Provide programme support to the team inNorth Lebanon(identification of activities/operations support, etc) Assist Team Leader in chairing NGO/interagency working group meeting at field level on Relief/Shelter/FI/NFI/WASHand follow up accordingly; Collects, registers and maintains information on project activities by reviewing reports and through first-hand sources; Prepares status and progress reports, prepares tables and drafts corresponding text, prepares background material for use in discussions and briefing sessions; Assist in the preparation of draft project documents including sub-agreements, project submissions, revisions and prepares project activities in Peoplesoft (MSRP), and translates project documents as required; Maintains close contact with governmental and non-governmental implementing and operational partners, providing co-operation and guidance as necessary; Brief donors on activities, impact and perfomance Perform specific operational/control tasks for project/programme activities.  This will include field visits for specific monitoring and evaluation issues; Undertakes appropriate actions in absence of supervisor in order to avoid delays in project/programme execution; Performs other duties as required. Monitors project/programme activities through on-site visits as well as by reviewing and analyzing a variety of records and reports, especially budgets and financial implementation.These include, among others, compilation of statistics on FI & NFIs distribution;
