Resettlement Receptionist – G3 – Hrt030 – Temporary Appointment - Tripoli

2.2 FUNCTIONAL STATEMENT. Describe   the accountabilities, responsibilities and authorities associated with the   position. Accountability (key results that will be achieved) -            The reception and   counseling of asylum-seekers and refugees in accordance with UNHCR policies   and standards; -            Resettlement interviews (   ID and RST/RSD) are scheduled and the scheduler is updated; -            Daily reception of refugees   is organized and their access to UNHCR center is facilitated; -            The RST unit filing   system is organized and maintained; -            RST unit office supplies   are maintained and sufficient stock made available to staff; -            ProGres is updated   Responsibility (process and functions undertaken to achieve   results) -            Call refugees and inform   them of interview dates; reschedule appointments where necessary; -            Ensure reception of   refugees approaching UNHCR for resettlement interviews guiding them to the   waiting area and interview rooms -            Create, organize,   maintain physical files, including photocopying of documentation prior to   resettlement/ Counseling  interviews; -            Ensure a timely and   efficient movement of physical files between relevant staff and from the   filing room to the resettlement unit; -            Keep track of office   supplies and organize replenishment periodically; -            Assist in mitigating   resettlement fraud by reporting suspected fraud. -            Coordinate with   registration staff (filing room; roadside) to organise and facilitate work   processes -            Perform any other tasks   as needed       Authority (decisions made in executing responsibilities and   to achieve results) -            Access the relevant information and administrative records -            Control and organize   access to UNHCR premises; referral to functional units for follow-up.

2.4 ESSENTIAL MINIMUM QUALIFICATIONS AND PROFESSIONAL EXPERIENCE REQUIRED.

- Completion of Secondary education or equivalent technical or commercial school
- Minimum 2 years of previous job experience relevant to the function
- Computer skills (MS office and People soft applications).
- Fluency in English and local language

(In offices where the working language is not English, excellent knowledge of working language of duty station and working knowledge of English.)



2.5 DESIRABLE QUALIFICATIONS & COMPETENCIES.

- Good communication skills
- Prior exposure to UNHCR refugee operations and functions relating to field office administration
- Good computer skills in using various office applications (including Microsoft Word, Excel, Internet Explorer and Access).
- Good knowledge of proGres (HCR database for registration of refugees, returnees and displaced persons).
