In Lebanon, WFP works to support approximately 700,000 people with regular assistance using e-cards. WFP also supports Lebanese schools with school meals, and has run over 300 development activities which include supporting rural infrastructure, as well as education and training opportunities for vulnerable individuals in families. WFP also supports Lebanon’s National Poverty Targeting Programme.  

ORGANIZATIONAL CONTEXT: The post is based in Beirut CO and the incumbent is to report to the Human Resources Officer. The job holder is expected to produce organised and accurate work, undertaking Human Resources business support activities.

JOB PURPOSE:To deliver standard business support in Human Resources processes, to facilitate effective HR service delivery. 

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive): 
Under the supervision of the Human Resources Officer, the incumbent will perform the following tasks:
 
1. Respond to general HR queries and escalate where appropriate, in order to provide a timely and accurate service to clients. 
2. Support processing and managing routine human resources tasks in various functional areas, including recruitments, payroll, contracts management, onboarding of new staff members, time management…etc, to contribute to the effective and timely management of resources and delivery of HR services. 
3. Liaise with other units/field offices on HR related matters, i.e. payroll, contracts, etc. and provide necessary information in order to enable timely HR services.
4. Provide revision and proof-reading services for standard HR documents, to contribute to the development of accurate documentation. 
5. Use HR management systems for entering and updating a variety of HR data ensuring compliance with the established deadlines and accuracy of HR data. 
6. Take responsibility for data integrity to facilitate availability of accurate information in the HR modalities of the organization’s corporate systems. 
7. Identify simple discrepancies in statistics and data, such as missing information, and report to senior HR staff in order to support clients to deliver their work. 
8. Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
9. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards. 
10. Gather information with clear direction to support the drafting of documents and preparing reports by other staff. 
11. Work with a variety of individuals, taking on feedback where appropriate to assist in HR business support delivery for staff. 
12. Other functions, as required.

STANDARD MINIMUM QUALIFICATIONS: 
Education: Completion of secondary school education. 

Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. 

Language: Fluency in both oral and written communication in English. Knowledge of the local language is added advantage.

KNOWLEDGE AND SKILLS: 
•    Proficient in the use of office equipment and computer software packages, such as Microsoft Word. 
•    Knowledge of work routines and methods in order to complete processes under minimal supervision. 
•    Good communication skills.
•    Uses tact and courtesy to give and receive information to a wide range of individuals. 
•    Ability to identify data discrepancies and rectify problems requiring attention.
