Job Title: Reporting, Research, and Communication Officer

Division: Programs Department

Function:

Utopia is looking to add an enthusiastic proactive member to its team. S/he will be responsible to start a new information management system within the organization, and setting up SMART and creative communication and reporting systems. S/he will manage the organization's social media platform, and coordinate with the teams to a professional exposure of the organization's performance and achievements. S/he will also manage proposal writing, fundraising, public relations, and communication with donors.

The reporting, research, and communication officer will:

Report: To the programs manager and the projects manager/s

Supervise: None

Coordinate: with projects officers, finance department, MEAL department, and concerned parties as assigned by the Program Manager.

Key Responsibilities

Reporting:

  • Develop a reporting strategy with close coordination with all the teams
  • Follow up with them regularly, to produce monthly, quarterly and yearly reports of different projects and programs implemented
  • Develop an official annual report
  • Update and Manage Utopia Biodata
  • Update and manage Utopia master lists of beneficiaries
  • Contribute to external reporting (ActivityInfo, RIMS, TASHBEEK, etc)
  • Manage proposals and fundraising plans
  • Develop proposal reports, budgets, and proposal calendars/ timelines and share them with relevant colleagues.
  • Meet proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval;
  • Entering and monitoring tracking data; coordinating requirements with contributors; contributing proposal status information to review meetings; transmitting proposals.
  • Maintain quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases.
  • Obtain approvals by reviewing proposals with key providers and project managers.

Research

  • Work closely with the MEAL teams to ensure evidence-based information and reports related to different periods of project management cycles
  • Conduct research related to proposal writing, operation, and work development
  • Suggest innovative ideas for effective resource mobilization

Communication

  • Ensure visibility to donors and other operating agencies by producing periodic reports, magazines, and newsletters
  • Follow up on the implementation of funded projects and attend donors' meetings.
  • Prepare, manage, provide and advise on strategic communications
  • Create communication plans for the organization and for the different programs and project
  • Work closely with the operation teams to implement communication plans
  • Give special focus to public relations
  • Collection, preparation, and development of content for organizational and project reports, position papers, briefings, presentations, and visual materials for a range of audiences
  • Development and delivery of plans, processes, and tools to support communication of research outputs to external stakeholders.

 

Minimum Education Level:

A minimum University Degree or equivalent in Communication, Public Relations, Journalism, Media Studies, International Relations, or Marketing.

A master’s Degree in Communication, Public Relations, Journalism, Media Studies, International Relations, or Marketing is desirable.

Proven Experience:

  • At least 5 years overall relevant experience, out of which 3 years experience in similar jobs with NGOs.
  • Proven experience to develop and implement Communications and Marketing Strategies
  • Ability to professional data analysis using SPSS
  • Ability to prepare budgets using Microsoft Excel
  • Ability to work well under pressure with strong attention to detail and organizational skills
  • Self-starter, able to work independently, and willing to take on tasks small and large.
  • Ability to maintain professionalism, creativity, and enthusiasm while working in a fast-paced, multicultural environment.
  • Compensation: Commensurate with experience and education.

 

The candidate needs to be living in Tripoli and surrounding, and operate from the office in Tabbaneh.
