Admin & Finance Assistant-Beirut (National Contract)

Job Title: ADMIN & FINANCE ASSISTANT

Duty Station: Beirut with travel to field offices as required.

Line Manager: Senior Finance & Compliance Officer

Responsible for: Assisting the Finance Department as per below details

MAIN DUTIES AND RESPONSIBILITIES:

  • General administration
    • Assist the Finance Department in monitoring funds management to ensure coherence with the approved financial plan through financial reports and expenditure verification.
    • Assist the Finance Department in monitoring and manage project deliverables and deadlines related to the fund, contracts, suppliers, and partners.
    • Assist in the reconciliations of payments such as fuel, communications, etc. and of projects’ accounts.
    • Check the administrative documentation in compliance with the legislation in force and with donor’s requirements, ensuring its completion and archiving.
    • Ensure the proper transmission of administrative financial-related information among bases and coordination.
    • Register expenditure in the accountancy system Square.
  • Budget and planning
    • Contribute to the preparation of monthly Budge Follow Up (BFU) such as (extracting reports, verifying expenses) under the Senior Finance & Compliance Officer and in coordination with Finance Coordinator and Finance Manager.
  • Internal Audit & National Regulations
    • Ensure that all relevant supporting documents (PO, PA, authorization of payment, etc.) are attached to the receipt and invoices.
    • Register the VAT on monthly basis in order to have them archived for the periodical declarations done by the Tax and Labor Consultant.
    • Liaise with Tax and Labour Consultant for the promptly submission of periodical reports to MoF and NSSF.
  • External Audit
    • Support the Finance Department in preparing the required documents for any external audit.
  • Archiving
    • Ensure monthly, that donor’s accounting files are complete, well archived, maintained, and scanned in accordance with WW-GVC’s and donors’ requirements.

EXPECTED SKILLS AND QUALIFICATIONS:

  • Educational Background: Bachelor in Finance and Accounting, Business Administration, or any other relevant field;
  • Position Experience: At least 1-2 years’ experience in Finance and Accounting;
  • Languages: Fluent in English and in Arabic (spoken and written);
  • MS Office Experience: Proficiency in Microsoft office (Excel and Word) and accounting systems;
  • Humanitarian Field Experience: Previous experience in working with National/International NGOs is an advantage.
  • Financial Experience: Previous experience in Financial Management of UN and AICS projects (OCHA etc..)
  • Driving license: Preferably but not mandatory

The Admin & Finance Assistant is required to support any other task not expressly mentioned in this ToR, that will be requested to do, in order to achieve the objectives of the Department and of the projects implemented by the organization as a whole.
