Job Title: Social Activity support & Admin/Logistics Officer

Duty Station: GVC Office in Kobayat (Akkar)
Line Manager: Project Manager
Responsible for: Social activity support, maintain contacts with local stakeholders and guarantee the logistics of GVC Kobayat office, purchase support accounting support.
OBJECTIVES:
This is a support function to programme and operations teams. Support the social activities in the project area, meet the beneficiaries and facilitate the communication and the organization of the activities (communications’ campaign activities, coordination, liaison with the project team). The post-holder will facilitate the relationship with the local stakeholders and the local population in the target area of project implementation. The post-holder will guarantee the logistics for the implementation of the activities in the field. Logistic functions could encompass a range of tasks that which will require skills in prioritising and managing competing demands from a variety of needs. He/She will also maintain the accounting regarding the minor expenses, and report to the Admin&Finance department.
MAIN DUTIES AND RESPONSIBILITIES
Social Activities Support (50% of time):
- Maintain good working relations with beneficiaries, contractors, authorities and all stakeholder involved in the project;
- Support during the implementation of social activities and coordinate with the Social Activity Coordinator and the Engineer;
- Realize visits in the area of intervention in coordination with the Social Activity Coordinator;
- Support during the implementation of survey with population;
- Liaise between the local communities and the GVC Akkar office, in order to guarantee a proper coordination for the activities and the events will take place in the target area;
- Guarantee the good coordination with the local authorities, set up meetings and take the correspondents minutes.
Logistics (30% of time):
- Maintain communication with service providers and suppliers;
- Coordinate with the Procurement Officer/Manager for procurements related to Kobayat office;
- Ensure that GVC office in Kobayat is fully operational in term of utilities, stationary, furniture, etc.;
- Asset management and maintenance of GVC premises in Kobayat and in Akkar region;
- Organize vehicles movements and ensure the ordinary maintenances of GVC vehicles assigned to the area.
Administration (20% of time):
- Liaise with the Country Administrator and the Admin/logistic in Beirut in order to manage all GVC contracts, ensuring that payments clauses are respected;
- Handle all Kobayat’s office payables (Cash payments/Check payments/utilities payments);
- Accurate and organized handling of Kobayat office accountability and petty cash;
- Maintain organized hard copy files of all documents (correspondence, AoA/MoU, contracts, etc.) according to GVC filing system.
Other
- Cooperate and coordinate with other GVC personnel;
- In coordination with GVC National Security Focal Point, be the GVC Security Local Focal Point for the Akkar region;
- Any other task not here listed and necessary to the projects and activities.
DRIVING LICENSE IS A MUST.
