Executive Assistant

EXECUTIVE ASSISTANT JOB SUMMARY Responsible for personal, professional and administrative duties of the Chair of the Board. Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, arranging travel and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.     ESSENTIAL FUNCTIONS Prepares reports, memos, letters and other documents. Opens, sorts and distributes incoming correspondence including faxes and emails. Files and retrieves corporate documents, records and reports. Prepares responses to correspondence containing routine inquiries. Prepares agendas and makes arrangements for committee, board and other meetings. Independently prepares recurring reports for signature. Answers and screens calls. Handles when appropriate. Answers the phone, receives and provides information concerning matters related to the call. Maintains calendars and assures that complete information is available for all matters. Establishes and maintains a variety of files and records. Arranges for meetings and conferences, both business and personal. Maintains files of issues in progress and follows up to ensure actions are completed on time. May attend meetings and conferences to furnish information and take notes. Organizes dinners, travel arrangements and name tags. Works with caterers and/or other service providers. Organizes off-site business development conferences. Predicts needs of Chair of the Board. Works with Chair of the Board & his/her volunteer organizations to plan events and gain contributions. Prepares needed reports accurately and in advance. Performs other duties as assigned.     QUALIFICATIONS BA or BS in business administration, communication or related field. Between three and five years experience supporting a high level executive. Proficiency in Arabic, English and French. Highly proficient in Microsoft Excel, Word and PowerPoint. Highly organized, great time management skills and the ability to prioritize. Good communication skills, both oral and written. Understanding of business environments and expectations, and flexible in adapting to changes in work and priorities.       EXECUTIVE ASSISTANT
