MAJOR TASKS:
Commodity/Cash Reporting
Regularly collect commodity/cash reports from all teams and check for the accuracy before data entry.
Ensure daily entry of cash/commodity transaction in commodity/cash database.
Ensure that all reports submitted by the teams are fully supported with proper evidenced documentation as per commodity/cash standards.
Assist CARO officer in Compilation of commodity/cash information to prepare statements including monthly and quarterly and yearly status reports and commodity summary statements
Prepare monthly, quarterly and yearly reports showing planned versus achieved
Ensure all commodities/cash reporting deadlines are met; data updates from different operational areas are received and consolidated.
Maintain and implement commodity/cash tracking and management systems.
Closely work with CARO officer and Commodity officer in preparation of monthly financial documents for payment of retailers.
Provide assistance to CARO in preparation of monthly WFP and FPMG reports in order to ensure the timely submission of the reports.
Record Keeping
Ensure commodity records are maintained in compliance with standard policies and procedures.
Check and review accounting documents and reports from the field for accuracy and completeness. Resolve accounting discrepancies and irregularities
Maintain a neat organized and chronological filing system in World Vision Lebanon.
Update shipment register and shipment receipt summaries
Update loss claim register and loss files
Review food monitor reports and center visit reports for consistency
Participate with CARO and commodity officer in monthly physical inventory exercise of all World Vision Lebanon warehouses, EDPs and FDPs.
Prepare physical inventory tally sheets.
Accounting Control and Audits
Ensure and monitor the implementation and maintenance of accounting control procedures in the field.
Work together with the CARO in preparation for audits
Knowledge and Skills
Have strong computer skills with working knowledge of Ms Access, Ms Excel and Ms Word.
Honest and hardworking
Must be a team player and have good management/supervision and inter-personal skills.
Should be a problem solver and have good analytical skills.
Ability to effectively develop rapport and relate to donors, NGOs, counterparts, and government agencies
Must have the ability to travel and a flexible approach to living conditions.
Has strong knowledge about NFIs (Non Food Items) and WASH (Water and Sanitation) distribution
Experience
At least two years hands on experience of commodity tracking and accounting
Work Environment
Office based position with frequent travel to the field
Position requires availability and willingness to work outside regular office hours
Must be ready to work long hours in a stressful environment
