Communications Administrator

·Organise and file all photos, videos, and other resources of the communications department; having them easy to access by the communications department staff ·Assist in timely and high quality media coverage of WV Lebanon’s activities: contacting media (phone call, emails, etc..)  ensuring receipt and following up on their attendance and making sure press releases are communicated after each WV event. ·Compile media coverage (press and TV) of WV mentions and produce weekly reports; Ensure copies are available and archived ·Contribute to the development of Annual Reviews, booklets, video materials (script), web site, internal newsletter, etc. through collection and processing of information; ·Downloading photos of Communications departments (after staff field visits) and sending the selected ones to the photolibrary ·Upload all communications material on WV websites, Social media outlets (posting articles, links, photos on wvi.org, YouTube, hootsuite, etc.. ) ·Monitor media in general; keeping record of major events locally, regionally and internationally ·Prepare WV folders / publications as per requests for visitors, staff, media etc… ·Follow up on WV publications: making sure corporate branding is respected, and keeping record of publications. ·Prepare Payment Orders for all communications invoices and follow up on checks ·Assist communications team members in getting security clearance and logistical support for field visits. ·Maintain and regularly update a calendar for team members activities ·Follow up on communications equipment; making sure inventory is regularly done (i.e Banners, giveaways, tripods…) ·Support the arrangements of public events initiated by communications department ie. Press conference, report launches ·Develop and maintain professional contacts with key translators, videographers, design companies, and assist ADPs in such requests; ·Assist in developing agendas for WV visitors and coordinating with field and related staff ·Attend to different Skype chat rooms when needed. Assist communications department in other admin tasks. Knowledge & Skills Strong ability to write, edit, and speak English. Strong computer literacy, including ability to work with Microsoft Office and web-based software, Cross-cultural sensitivity and understanding of social and political environment. Ability to work with minimal direction, with team members as well as alone. Ability to cope with working in a dynamic and changing environment. Ability to exhibit exemplary lifestyle as interpreted in specific local cultural context. Computer literate, be at least familiar with MS Office software package Experience Previous experience as personal assistant or administrative assistant
