ROLE DIMENSION / DESCRIPTION
I. Administer Human Resources Systems and database
Administer World Vision Lebanon’s human resources systems including HRIS (Human Resources Information Systems) and Time Management software.
Update HRIS records regularly and provide reports and statistics when required
Ensure that the HR section of the support services database is updated
II. Follow-up on National Social Security Fund and Ministry of Finance requirements
Administer national social security funds, insurance and workers’ compensation plans including enrollments and terminations, family allowance sheet and annually yearly declaration form.
Administer Ministry of Finance forms
III. Provide support during the recruitment process
Follow up on the related clerical aspects of vacancies and employment such as personnel requisition forms, posting job ads, job application forms,
Collect and manage the database of received resumes
Short list the appropriate candidates who fit and meet the minimum requirements of each open position.
Participate in conducting the interviews.
Assist in evaluating candidates for select positions and provide the panel’s recommendations to the Human Resources Manager and submit Interview summary
Perform further background reference investigation for all possible hires. (Reference Check & Vetting) and send regret letters
Issuing Job offers and preparing employment agreements and contracts.
Contact potential candidates and arrange interview schedules.
Conduct new employee orientation
Assist in the job evaluation and grading of World Vision Lebanon positions
IV. Perform a variety of HR tasks to support staff and P&C Coordinator
Manage employees’ leaves and vacations, ensuring full compliance with World Vision Lebanon Human Resources policies.
Respond to routine employee enquiries, both oral and written to ensure the accurate and timely provision of information .e.g verification letters, number of leave days, International Insurance certificate, monthly payslips, Prepare End of Service documents whenever requested
Provide general administrative and clerical support to the Human Resources Unit/Coordinator to facilitate the smooth operation of the Unit.
Manage employees’ and interns’ files as per World Vision Lebanon Human Resources standards
Ensure child protection, code of conduct, conflict of interest, Harrassment Prevention, HRIS Privacy Statement policies are signed by new employees as required.
Support the HR coordinator in revising the HR policies and Procedures, and in updating the Job Descriptions and employee handbook.
Assist the Human Resources Manager in handling special projects e.g. employee like surveys, annual award lists, retention and motivation plans, etc.
Advise the Human Resources Manager of potential problem areas pertaining to the staff well-being and recommend/implement solutions as appropriate.
Assist in preparing and participate in staff events and Human Resources Days to foster team spirit and commitment to World Vision’s ministry.
Administer the staff termination process and support in conducting exit interviews with staff leaving WVL
Update continuously World Vision Lebanon’s organigram
Process quarterly billings from insurance providers. Review billings for accuracy, and resolve discrepancies with the company.
Follow up on Performance Agreements, Midterm Reviews & Annual Reviews to be submitted in due time and upload them in HRIS
Prepare all contract amendments and keep them on file
Knowledge, Skills, Abilities:
Education
University degree in a field related to business administration or HR management
preferred
Knowledge & Skills
Knowledge of HR administration and good working knowledge of principle of HR management
Excellent written English, with good command of spoken Arabic and English.
Ability to respect and relate appropriately to people
Excellent administrative skills
Computer literate with a high degree of proficiency and productivity.
Good interpersonal and written and oral communication skills
Maintain high level of confidentiality

Strong knowledge of Internal Human Resources policies, labor legislations and legal requirements.

Office-based with rare travel to the field (5%)
Position may require to function during a crisis situation, including during a World Vision response to a manmade or natural disaster.
