Senior Project Coordinator

  WORK CONTEXT / BACKGROUND: This position requires to work in areas where refugees are located, whether in the Palestinian Camps or within gatherings where Iraqi or other Refugees are resident.   PURPOSE OF POSITION: To lead and coordinate the implementation of the project in putting together project goals that meet World Vision standards and policies in addressing refugee needs in a sustainable manner that leaves considerable positive impact on the targeted beneficiaries.   MAJOR RESPONSIBILITIES   ROLE DIMENSION / DESCRIPTION TIME SPENT I.     Management   50% a.     Assist in developing the project annual action plan and monitor its implementation with the support of the field people, NGOs, stakeholders, external consultants and World Vision Lebanon staff if needed. b.     Assist in preparing the annual budget according to the donor’s and World Vision Lebanon’s requirements. c.     Evaluate the implementation of the project according to the approved stated objectives, plan of actions, budgets and record progress. d.     Coordinate with the partner, local NGOs and other organizations working in this sector. Organize regular follow-up and planning meetings for the project team and/or local partners f.      Support the partners’ staff in the implementation of the daily activities; conduct various field visits to the different areas of operations to monitor and supervise the progress of the work periodically. g.     Guide the local partners and community based organizations on how to assess, plan, design, implement, monitor and evaluate projects h.     Participate in evaluating the impact of the project’s interventions on the beneficiaries periodically and develop case stories when possible in coordination with the Communications department (once needed, on occasional basis). i.      Participate/ support in all phases of the projects such as the assessment, proposal writing, baseline, implementation, and redesign, mid and final evaluations.     II.    Reporting and administrative tasks:   30%   Review partners’ monthly reports and provide them with feedback. Prepare Monthly, quarterly, semi-annual and annual progress reports on the proceedings of the project (financial and operational). File all important records and correspondences related to the project. Prepare and update the list of items to be purchased when needed (with the help of the local NGOs and the field interns); coordinate with World Vision Lebanon Procurement officer on all procurement needs.   Develop yearly partners’ cash flows and agreements.   Prepare or/and follow up on all means of verifications for all the activities.   Prepare or/and follow up on contracts, amendments, cash requests, payment orders, receipts, TORs, checks, advanced payments, minutes …     III.  Networking and fundraising:   15% Participate in writing concept papers and proposals in coordination with the Design, Monitoring, and Evaluation department. Improve network between partners and all stakeholders in the project area. Seek new or existing opportunities for supporting the project/program and partners.     VII. Other:   5% Build a database of trainers, suppliers, companies, NGOs and others which may help in the implementation of the project. Carry out public relations activities, which include accompanying foreign visitors and donors to the project. Work towards his/her own self-development through participating in various capacity building trainings as offered and requested by the World Vision team. Prepare/ participate in general events related to the whole program such as the refugees’ day occasion, partner’s training… and coordinate with the partners for these specific related activities. Represent World Vision when requested and necessary.
