PURPOSE OF THE POSITION:
The position is to support and assist the program manager /Health specialist and team in human resources, administrative and procurement tasks as per World Vision policies and procedures.
MAJOR RESPONSIBILITIES
Contact local consultants or consulting firms and collect CVs or proposals for capacity building trainings of staff and local partners and for other services as needed in close coordination with the Human Resources Department and in compliance with the procurement policy.
Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature.
Develop and maintain a list of universities in Lebanon with contact details for internship or recruitment opportunities.
Maintain the Project administrative files, ensuring the confidentiality of documents.
Oversee project equipment maintenance and vehicle repairs, maintenance and servicing (mechanic) in a timely manner.
Ensure stationary supplies are ordered in a timely manner for the related training, workshops and events .
Assist in all logistics tasks related to training and events in coordination with NO office Manager
Preparation and distribution of invitation cards related to trainings, workshops and project events
Collect and Follow up on invoices and receipts related to project activities to ensure that we have full needed documents ready to be sent out to project accountant
Prepare all Pos needed for the projects activities
Prepare project cash requests on monthly basis
Oversee the distribution of Gifts In Kind to local communities and partners in a timely and effective manner
Finalize Purchase Request Forms for all assets, services, project supplies purchases at the office on a monthly basis.
Track and follow up on all Purchases that are under the set threshold in the Procurement Policy
Ensure that the procurement processes are properly followed by the area team
Prepare needed TOR to be signed with related consultants, suppliers, trainers etc…

University degree in a field related to business administration

Computer literate with a high degree of proficiency and productivity
