Support Services Administrator

WORK CONTEXT / BACKGROUND: Starting April 2011, an influx of Syrian Refugees fleeing military violence and onslaught crossed the Lebanese borders to seek shelter and refuge in the Northern Areas of Lebanon. Shortly after, the refugees started appearing in the Bekaa region. World Vision Lebanondecided to address the urgent survival needs of disaster-affected families and their children in the Bekaa in coordination with the international and local organizations intervening in the area.   PURPOSE OF POSITION:   To support and assist the Project Manager and team in human resources, administrative and procurement tasks as per World Vision policies and procedures.     MAJOR TASKS:   Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature. Manage the area team’s leaves and vacations and send updated balances and forms to the HR administrator Maintain the office administrative files, ensuring the confidentiality of documents. Oversee office equipment maintenance and vehicle repairs, maintenance and servicing (mechanic) in a timely manner. Ensure kitchen and stationary supplies are ordered in a timely manner. Monitor the team’s attendance and report to the Project Manager accordingly support the distribution Team with administrative work relating to food voucher evaluations and documentation's Finalize Purchase Request Forms for all assets, services, office supplies purchases at the office on a monthly basis. Track and follow up on all Purchases that are under the set threshold in the Procurement Policy Ensure that the procurement processes are properly followed by the area team support the accounting department  on keeping track of budget guidelines and and updating financial reports as per spending       EDUCATION / SKILLS REQUIREMENTS:             Education University degree in a field related to business administration             Knowledge and Skills Good interpersonal and communication skills Good organizational and Time management skills Computer literate with a high degree of proficiency and productivity Good  written English Good Knowledge of WVL’s procurement and HR policies   Experience At least one year experience in a similar job   Work Environment   100% Office-based Position may require occasional local travel Position requires willingness and ability to continue to function during a crisis situation, including during a World Vision response to a manmade or natural disaster at the ADP level.     EMPLOYMENT TYPE: Contract Full Time (till June 30, 2013)   Qualified candidates are requested to send their CV to the following fax number or e-mail address: Fax number: 00 961 4 401982 E-mail address:          cv@worldvision.org.lb (Kindly state the title of the vacancy in the subject.)
