PURPOSE OF POSITION:
To support and assist the Area Manager and team in human resources, administrative and procurement tasks as per World Vision policies and procedures
MAJOR RESPONSIBILITIES:
Handle Procurement needs in the office:
- Finalize Purchase Request Forms for all assets, services, office supplies purchases at the zonal office on a monthly basis.
- Track and follow up on all Purchases that are under the set threshold in the Procurement Policy
-Ensure that the procurement processes are properly executed and necessary follow up is done with the area team.
Appropriate documentation and follow up on all of the procurement processes: PRF, Bids Analysis, delivery notes, etc.
Handle Human Resources tasks such as:
- Contact local consultants or consulting firms and collect CVs or proposals for capacity building trainings of staff and local partners and for other services as needed in close coordination with the Human Resources Department and in compliance with the procurement policy.
- Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature.
- Develop and maintain a list of universities in the area with contact details for internship or recruitment opportunities.
- Update the workforce-planning sheet and send it to the HR department on a monthly basis.
Updated consultancy database, workforce planning sheet and timely follow with needed parties.
Handle the ADP Administrative tasks such as:
- Maintain the office administrative files, ensuring the confidentiality of documents.
- Oversee office equipment maintenance and vehicle repairs, maintenance and servicing (mechanic) in a timely manner and update the assets list.
- Ensure kitchen and stationary supplies are ordered in a timely manner.
- Assist in all logistics tasks related to training and events in coordination with NO office Manager
All admin tasks are completed in a timely manner and with a high quality in a way that adds value to the team.
Handle the gifts in-kind (GIK) distribution:
- Oversee the distribution of Gifts In Kind to local communities and partners in a timely and effective manner
Proper follow up and submission of the GIK annual plan, distribution list, and reports.
Safety and Security Responsibilities:
- Responsible of own security and actively contribute to a positive security culture
- Abide by the security policies and procedures and report any incidents or breaches to line manager and / or security manager
HEA responsibilities:
- Be aware of the emergency procedures in a response and ensure that necessary preparedness measures have been implemented
Perform other tasks as assigned by ADP/Area manager
Attend and participate in staff spiritual nurture events as well as other organizational events
KNOWLEDGE, SKILLS AND ABILITIES:
University degree in a field related to business administration
At least one year experience in a similar job
Good interpersonal and communication skills
Good organizational and Time management skills
Computer literate with a high degree of proficiency and productivity
100% Office-based
Position may require occasional local travel
Position requires willingness and ability to continue to function during a crisis situation, including during a World Vision response to a manmade or natural disaster at the ADP level
