Duties & Responsibilities:
Responsible for all secretarial and administrative issues
To act as the focal point for external communication and correspondence and ensure timely dispatching and follow-up of calls/letters/faxes/e-mail
To keep files of all projects and staff ensuring all necessary documents are on file and monitored including: projects proposals, reports, budgets, contracts, codes of conduct, job descriptions, attendance sheets, holiday and sick leave requests, disciplinary documents and appraisals
To implement accounting related tasks
To be responsible for the filing and organization of all ALEF contracts and archives (employment, commercial, maintenance, rental)
To follow up on office supplies, equipments and maintenance
To follow up on travel arrangements
Follow up on the needs of project officers with coordination with the Executive Director.
Any other duties relating to the nature of the job as directed by the Line Manager.
Qualifications:
Relevant university degree or similar education
Relevant experience in similar contexts
Strong communication and team work skills
Fluency in written and spoken Arabic and English, French is a plus
Able to work independently and energetically; Motivated
Relevant computer skills
Good organizational skills
Good MS Office skills, Outlook
Able to work under pressure and meet deadlines
Ability to exercise good political judgment, thorough analysis and diplomacy;
Adherence to Human Rights values and ethics and understanding of equal opportunities, cultural diversity and gender issues
