- Provide clerical assistance in the day-to-day running of FAP and assist in routine logistical/administrative support including safe and efficient transport of visa application files and bio-data from the FAP office to the German Embassy.
- Immediately informing the FAP National Project Officer of any problems, changes, or complications encountered during the operations and report any issue with security personnel.
- Assist migrants in the completion of the VIDEX online application form as per checklists and conduct completeness checks on all documentation before their visa appointment.
- Maintain high degree of skills in using IOM internal software platforms; enter required applicant data, lodge application documents.
- Provide migrants with accurate information in a timely manner. This will include distributing information sheets, and visa requirement checklists; assisting with telephone inquiries from clients (including requirements for submitting visa applications); and informing clients of any changes to visa requirements or submission procedures.
- Queuing system: ensure queuing system for applicants coming to FAP is followed and operated effectively.
- Maintain a positive working relationship with staff members within the FAP, with the German Embassy staff locally and with external counterparts involved with the processing of this caseload.
- Maintain a professional appearance and always migrant-friendly demeanor; always provide excellent customer service to applicants, in full compliance with the Service Standards.
- Maintain confidentiality of all FAP-related matters, in accordance with guidelines and instructions.
- Perform any other duties as may be assigned.
