Procurement Officer

Job Responsibilities:

  • Buy products that are essential for Foundation’s day-to-day operations.
  • Research potential vendors by reviewing prices, quality and services.
  • Compare and evaluate offers from suppliers.
  • ​​​​​​​​​​​​Negotiate contracts’ terms of agreement and pricing.
  • Track orders and ensure timely delivery.
  • Ensure that all the purchase orders and purchase requests are filled accurately and signed by the designated persons before proceeding with any purchase.
  • Assist the Field Assistants and other employees in preparing the purchase orders and requests.
  • Review quality of purchased products.
  • Secure 3 quotations from 3 different vendors and ensure that the 3 quotations are of the same specifications and quantities, for any purchase above $500.  
  • Enter order details (e.g. vendors, quantities, prices) into internal databases.
  • Maintain updated records of purchased products, delivery information and invoices.
  • Prepare reports on purchases, including cost analyses.
  • Monitor inventory and place orders as needed.
  • Coordinate with all staff (Logistics Officer, Field Assistants, and Accountant) to ensure proper procurement process.
  • Attend trade shows and exhibitions to stay up-to-date with all new trends.
  • Create and maintain good relationships with key suppliers to ensure merchandise is high quality and delivered on time.
