Job Responsibilities:
- Buy products that are essential for Foundation’s day-to-day operations.
- Research potential vendors by reviewing prices, quality and services.
- Compare and evaluate offers from suppliers.
- Negotiate contracts’ terms of agreement and pricing.
- Track orders and ensure timely delivery.
- Ensure that all the purchase orders and purchase requests are filled accurately and signed by the designated persons before proceeding with any purchase.
- Assist the Field Assistants and other employees in preparing the purchase orders and requests.
- Review quality of purchased products.
- Secure 3 quotations from 3 different vendors and ensure that the 3 quotations are of the same specifications and quantities, for any purchase above $500.
- Enter order details (e.g. vendors, quantities, prices) into internal databases.
- Maintain updated records of purchased products, delivery information and invoices.
- Prepare reports on purchases, including cost analyses.
- Monitor inventory and place orders as needed.
- Coordinate with all staff (Logistics Officer, Field Assistants, and Accountant) to ensure proper procurement process.
- Attend trade shows and exhibitions to stay up-to-date with all new trends.
- Create and maintain good relationships with key suppliers to ensure merchandise is high quality and delivered on time.
