Outreach and Communication Officer (Admin)

Reporting and Coordination lines:

Reports to: Project Coordinator

Direct Coordination: MEAL, Finance and Operations, Medical departments.

 

Responsibilities:

  • Support the design and the preparation of SAMS projects and activities.
  • Ensure smooth implementation of the SAMS activities and projects and support a consistent tracking system for all projects deliverables and targets.
  • Participate in internal project review meetings to report on projects’ progress.
  • Coordinate the preparation of weekly, monthly, semiannual, annual and end-of-project donor narrative reports as required and on specific areas of the programs.
  • Contribute and assist in annual project planning and the preparation of projects’ plan (risk management plan, activities plan, responsibility matrix plan, forecast plan;
  •  
  • Communicate with SAMS’ partners’ focal points as needed and required;

 

  • Follow up with hospitals’ focal points to ensure proactive referrals for project’s patients.

 

  • Ensure that project files, MOUs and documentation are documented, well organized, archived, comprehensive, and up to date;

 

  • Prepare project documents including financial records for hospitals, commitment letters, MOUs, agreements, finance tracking sheets;  

 

  • Maintain communication channels and interaction spaces between Program, and Finance staff to ensure adequate level of integration and responsiveness;

 

  • Provide administrative support to SAMS different departments MEAL, programs, finance, health and operations as needed;

 

  • Arrange project’s coordinator field visits;

 

  • Support the MEAL department to in the development of monitoring and reporting tools and templates and in their analysis;

 

  • Support internal and external project evaluations, and lessons learnt  exercises;

     

     

     

 

  • Provide support in data cleaning and management as required and needed;  

 

  • Adhere to SAMS Safeguarding and PSEA policies;

 

Comply by all SAMS policies and code of conduct.

Qualifications and requirements

  • Bachelor degree in business administration, social work or related field;
  • At least two years of prior experience in a similar positions and or handling similar tasks in non-governmental organization;
  • Medical background is a plus;
  • Good analytical skills with good planning and problem-solving abilities;
  • Excellent proficiency in oral and written communication skills in English and Arabic;
  • Adapt flexibly to changing situations and be able to work under pressure and meet deadlines;
  • Good communication and interpersonal skills and ability;
  • Ability to take initiative where appropriate to deal with difficulties encountered in daily work tasks;
  • Proven ability to work cooperatively with colleagues from other departments in a team environment, and to lead a diverse group of people and be able to work well in a team and independently;
  • Commitment to high level of confidentiality with sensitive information.
