- As part of our financial operations, we are seeking to recruit a Finance Assistant to support the finance department with financial data management, bookkeeping, and administrative functions to ensure the accuracy and efficiency of the financial operations.
- Purpose of the Position
The Finance Assistant, reporting to the finance manager, will play a key role in assisting the Finance Department in maintaining accurate financial records, supporting the preparation of financial reports, and ensuring compliance with financial policies and procedures.
- Key Responsibilities
- Ensure that all financial documentation is filed and stored securely.
- Review and verify the accuracy of invoices, receipts, and supporting documents before processing payments.
- Process payments, ensuring compliance with financial policies and deadlines.
- Reconcile bank statements and cash books to ensure that all records matches.
- Assist with tracking expenditures and ensuring that they align with approved budgets.
- Support in preparing financial documentation for audits and ensuring all required documents are available.
- Petty Cash Management
- Oversee the management of petty cash, ensuring it is used appropriately, recorded, and replenished on time.
- Ensure that petty cash records are reconciled at regular intervals.
- Assist in processing purchase orders and ensuring proper documentation is attached.
- Help ensure that payments to suppliers, contractors, and other vendors are processed timely and correctly.
- Track outstanding payments and follow up with relevant departments.
- Support in ensuring that financial transactions and activities comply with organizational policies and donor regulations.
- General Administrative Support
- Assist the finance team with general administrative duties as required.
- Qualifications and Experience
Education: Bachelor’s degree or equivalent in Finance, Accounting, or a related field.
- Experience:
At least 1-2 years of experience in finance or accounting, preferably within an NGO or non-profit sector.
Familiarity with donor reporting and budgeting processes is an advantage.
- Skills:
Strong understanding of financial management principles.
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Proficient in Microsoft Excel and other office software.
Ability to work under pressure and meet deadlines.
Good communication skills, both written and verbal.
