Finance Assistant

  • As part of our financial operations, we are seeking to recruit a Finance Assistant to support the finance department with financial data management, bookkeeping, and administrative functions to ensure the accuracy and efficiency of the financial operations.

 

  • Purpose of the Position

The Finance Assistant, reporting to the finance manager, will play a key role in assisting the Finance Department in maintaining accurate financial records, supporting the preparation of financial reports, and ensuring compliance with financial policies and procedures.

  • Key Responsibilities
  1. Ensure that all financial documentation is filed and stored securely.
  2. Review and verify the accuracy of invoices, receipts, and supporting documents before processing payments.
  3. Process payments, ensuring compliance with financial policies and deadlines.
  4. Reconcile bank statements and cash books to ensure that all records matches.
  5. Assist with tracking expenditures and ensuring that they align with approved budgets.
  6. Support in preparing financial documentation for audits and ensuring all required documents are available.
  7. Petty Cash Management
  8. Oversee the management of petty cash, ensuring it is used appropriately, recorded, and replenished on time.
  9. Ensure that petty cash records are reconciled at regular intervals.
  10. Assist in processing purchase orders and ensuring proper documentation is attached.
  11. Help ensure that payments to suppliers, contractors, and other vendors are processed timely and correctly.
  12. Track outstanding payments and follow up with relevant departments.
  13. Support in ensuring that financial transactions and activities comply with organizational policies and donor regulations.
  14. General Administrative Support
  15. Assist the finance team with general administrative duties as required.
  • Qualifications and Experience

Education: Bachelor’s degree or equivalent in Finance, Accounting, or a related field.

  • Experience:

At least 1-2 years of experience in finance or accounting, preferably within an NGO or non-profit sector.

Familiarity with donor reporting and budgeting processes is an advantage.

  • Skills:

Strong understanding of financial management principles.

Excellent attention to detail and accuracy.

Strong organizational and time-management skills.

Proficient in Microsoft Excel and other office software.

Ability to work under pressure and meet deadlines.

Good communication skills, both written and verbal.
