Role Overview 

The Program Tracker and Donor Relations Manager supports the organization in ensuring effective project cycle management, from planning, project development and monitoring to reporting. The role focuses on maintaining strong donor relations by providing timely and accurate updates, reports, and communication. In addition, the Manager contributes to process improvement and compliance, ensuring that all activities align with donor requirements and organizational standards, while promoting efficiency and accountability across programs. 

Responsibilities  

  • Develop and refine responses to calls for projects/proposals, including detailed narrative reports, logical frameworks, budgets, and MEAL (Monitoring, Evaluation, Accountability, and Learning) strategies that align with Warch(ée)’s mission and vision.  
  • Ensure adherence to internal policies and donor guidelines, regularly updating processes to meet evolving requirements.  
  • Maintain and organize comprehensive records of project activities, financial documents, and administrative paperwork, ensuring consistent archiving practices.  
  • Monitor project progress through data collection and analysis, ensuring that all activities meet established benchmarks and are reported accurately.  
  • Work closely with the finance team and project staff to align project execution with financial planning, ensuring efficient resource allocation and budget management.  
  • Support the Finance and Administration Officer with external audits.  
  • Support the project manager in gathering and analyzing data for MEAL purposes  
  • Contribute to the development of Warch(ée)’s annual report.  
  • Preparing donors reports in coordination with the financial officer and the board.  
  • Continuously assess and improve project management processes to enhance efficiency and effectiveness, ensuring they are in line with best practices and donor requirements.  
  • Identify potential risks in project implementation and financial management, proposing mitigation strategies to minimize impact.  
  • Support the development and implementation of internal programs focused on project management best practices and compliance with donor requirements. 

Requirements  

  • Bachelor’s degree in International Development, Social Sciences, Public Administration, Business, or a related field (Master’s degree is an asset). 
  • Proven experience in project cycle management, donor reporting, or grants management, ideally within NGOs or international organizations. 
  • Strong skills in report writing, budgeting, and data analysis in both French and English. 
  • Knowledge of donor guidelines, compliance standards, MEAL and project management best practices. 
  • Proven knowledge of French funds system, in particular AFD, and other French and French-speaking institutional funds, in particular embassies as Monaco DCI 
  • Demonstrated ability to draft high-quality narrative reports, logical frameworks, budgets, and MEAL tools. 
  • Excellent organizational, documentation and archiving abilities. 
  • Ability to work collaboratively with finance and project teams to ensure alignment between programmatic and financial planning. 
  • Fluency in French and English; Arabic is an asset. 
  • Proficiency in Microsoft Office; project management tools are a plus. 
  • High sense of integrity, accountability, and commitment to Warchée’s mission and values. 
  • Capacity to work independently, manage multiple priorities, and meet tight deadlines.
