The Program Assistant is responsible for overseeing and managing all office procedures and facilitate the effective and successful planning, and implementation of education program activities and other tasks as assigned by the project coordinator.
Duties
Oversee all aspects of general office coordination
Maintain office calendar to coordinate work flow and meetings
Set up and coordinate meetings and conferences
Disseminate meeting agendas prior to meetings
Attend meetings as requested in order to record minutes
Compile, transcribe, file and distribute minutes of meetings
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing related to the project
File and retrieve organizational documents, records and reports related to education program
Prepare responses to correspondence containing routine inquiries related to the project
Coordinate and direct office services, such as records, budget preparation, personnel and housekeeping
Support staff in assigned project‐based work
Maintain confidentiality in all aspects of client, staff and agency information
Follow up on all contracts linked to the volunteers, outreach workers and distribution staff: the closure
Follow up on data required on ROV’s, identified by Education field coordinators
Conduct field visits as requested
Business Skills
Good communication and interpersonal skills
Ability to work effectively as a team member and with minimal supervision
Good organizational and basic project management skills
Excellent knowledge of written and spoken Arabic and English
Knowledge of written and spoken French is a plus
Ability to work well under pressure
