Role
The programs assistant is responsible of assisting in various administrative, financial, and project management tasks such as but not limited to procurement, M&E and grant management tasks.
Key Responsibilities:
- Administration
- Legal Agenda’s Law & Society Library Management
- Assist in or perform administrative tasks (e.g. event preparation and coordination, writing minutes of meetings, office management, etc.)
- Any other relevant administrative tasks requested by the Head of the Department
- Procurement
- Ensure the proper implementation of Legal Agenda’s procurement policies and procedures
- Procure all materials and equipment ordered in a cost-effective and transparent manner in line with Legal Agenda and donor specific policies
- Perform routine communication, coordination and planning with the relevant requesting staff / programs regarding the order and delivery of supplies
- Ensure that all supplies, services and equipment required meet the quality specifications and are delivered on time
- Develop and maintain supplier information for regularly purchased items, and be informed of current local market conditions
- Prepare bid analysis and selection matrices and submit for management approval.
- Prepare service providers and supplier contracts and purchase orders and submit for management approval
- Grants Management and Reporting
- Maintain general and project specific M&E databases
- Write or assist in writing internal and donor-related narrative reports
- Assist in the development of proposals and grant applications
Requirements for the position
- Bachelor degree
- Excellent organizational skills
- Analytical Skills
- Team worker and good communication skills
- Fluent in English and Arabic (Oral and written), and good grasp of business communication
- Computer literacy, including knowledge of MS office applications, and accounting software applications
