The Administrative Secreatary is responsible for providing secretarial and administrative support in order to ensure that services are provided in an effective and efficient manner.
The incumbent's main responsibilities include:
Arranging and confirming appointments
Receiving, directing and relaying phone calls and fax messages
Maintaing filing systems
Assisting in the preparation of meetings and trainings
Drafting minutes of meetings
Maintaining databases
Directing the beneficiaries to the appropriate staff member
Maintaing confidentiality
Receiving and screening visitors
Maintaining office supplies inventory
Determining needs and ordering office supplies, equipment, repair and maintenance services
Preparing lists of daily expenses and sharing it with the Coordinator
Delivering transportation fees to the beneficiarues and maintaining detailed list of tranportation fees paid per day
Performing other tasks as required by the Project Coordinator or the Center Director
