Role Overview  

The Operations Officer and Workshop Supervisor oversee production planning, procurement, operational coordination, quality control, and financial follow-up for the Tripoli workshop. The role ensures efficient operations, proper maintenance, and accurate financial processing in close coordination with the Warchee management. This role will also collaborate closely with stakeholders to streamline operations and uphold organizational standards, ensuring the smooth and cost-effective execution of our activities. 

Key Responsibilities

Production Planning & Coordination

  • Prepare and update the workshop production plan based on available stock, capacity, and management priorities.
  • Coordinate production activities between Beirut and Tripoli workshops to ensure alignment with timelines, budgets, and quality standards.
  • Set an action plan for fabrication and training while aligning both activities in timelines and budgets.
  • Adapt a system of fabrication & training timeline with respect to budget, quality & deadlines.
  • Communicate production plans, progress, and challenges to management and propose corrective actions when needed.
  • Verify that all dues are well met with product quality from Fabrication to sales.
  • Coordinate closely with the Workshop Assistant to ensure proper implementation of the production plan and resolve operational constraints.
  • Validate timesheets and attendance and prepare end of month payments for workshop.

Procurement & Supplier Management

  • Lead procurement processes for workshop materials, tools, and equipment.
  • Conduct bid analysis, negotiate with suppliers, and ensure best value for cost, quality, and delivery timelines.
  • Maintain supplier relationships and ensure compliance with organizational procurement policies.
  • Monitor purchase orders, deliveries, and stock availability to avoid production delays.

Operations, Maintenance & Cost Management

  • Monitor fabrication and operational costs and report variances.
  • Ensure machines, tools, and equipment in both workshops are properly maintained through preventive and corrective maintenance.
  • Coordinate with external vendors for maintenance and repair works and ensure availability of spare parts.

Workshop Maintenance

  • Ensure the proper maintenance of machines, tools, and equipment in the workshops, including regular inspections, repairs, and servicing as needed. 
  • Coordinate with external vendors and service providers for maintenance and repair work, ensuring minimal downtime and maximum efficiency. 
  • Manage the inventory of spare parts and supplies for machines and equipment, replenishing stock as necessary to support workshop activities. 

Financial & Payment Coordination

  • Prepare end-of-month workshop payments in coordination with the Workshop Assistant.
  • Review and validate timesheets, attendance records, and supporting documents submitted by the Workshop Assistant.
  • Coordinate with finance and management to ensure timely and accurate disbursement of payments.

Reporting

  • Prepare operational, procurement, production, and financial reports.
  • Maintain clear documentation for audits and management review.
